Job Summary:

Do you have a passion for seeing something through from start to finish? Do you have experience supporting high-level executives? Do you like to manage projects? Do you thrive on organization? Are you known for keeping your cool under pressure? Can you interact with the most senior levels of management? If you’re nodding your head, then a Legal Operations Specialist at The Walt Disney Company might be right for you.

The Corporate Legal Department is seeking a detail oriented, organized, proactive, and responsive Legal Assistant/Operations Specialist to help manage the projects and responsibilities of the VP, Legal Operations and Chief of Staff to the Office of the General Counsel. The right individual would be responsible for the day-to-day workings of the leader this role supports, as well as helping to track and organize unique projects critical to the success of the Legal Department. The Specialist must have strong communication skills, able to work well with people on all levels, and sound decision-making—simultaneously organizing elements of multiple projects at any given time. The Operations Specialist will also need to be able to plan large events like off-sites, as well as smaller team-building activities. Other key responsibilities include, but are not limited to, managing the leader’s schedule, creating and managing travel itineraries, and distributing communication on behalf of leader.

It goes without saying that there will be project deadlines, zoom meetings, expense reports, hundreds of phone messages and endless calendar jockeying, but this job is very much about people. The relationship you form with the executive(s) you support is absolutely critical, because that’s what enables you to become a true partner. In addition to understanding your executive’s business -- and business needs -- inside and out, you’ll also need deep knowledge of the leadership and workings of Corporate Legal, and of related departments across the Disney enterprise. As the “face” of your executive within The Walt Disney Company, your professionalism, loyalty, and attitude are a reflection of the office, and as such, are a key component to its success. Every day as a Legal Operations Specialist is different. On any given day you might:
  • Work with leader to help track progress on new and existing Corporate Legal projects and initiatives.
  • With direction from leader, prioritize, harmonize, and include the right participants on business-critical projects and communication.
  • Partner closely with corporate legal leaders, as well as corporate Disney leaders. Work with their support structure to schedule and include meeting participation based on topic priorities. Your ability to work well with people on all levels is a very important part of your job
  • Ensure projects maintain on track; react to changing timeframes and priorities, scheduling meetings, drafting communication, and/or making phone calls to update those involved.
  • Participate as needed in project meetings, maintain meeting logs while also contributing with ideas or suggestions.
  • Be agile. Promptly address day-to-day calendar issues and queries as they arise in an efficient and effective manner.
  • Understand priorities so that you can be strategic about how you direct the day’s activities. Schedule video calls, meetings and conference rooms as needed.
  • Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles.
  • Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company, and your leaders handle very sensitive matters on a regular basis.
  • Assist as needed with on-boarding new employees – you’ll be the “friendly face” that newbies count on to answer all their questions, including some who are extremely senior in the organization.
  • Manage large purchase orders and vendor contracts as required.
  • Plan large events like off-sites, Disney Women Lawyers events, and team-building activities.
  • Exemplify the professionalism and ethical judgment necessary to be a member of the Disney Legal Department.

Basic Qualifications:

Here’s what you will need to be successful in this role:
  • At least 5 years supporting a Vice President, Senior Law Firm partner, and/or equivalent experience.
  • At least 3 years managing projects, tracking progress, and articulating deliverables.
  • Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary.
  • Desire to immerse yourself fully and learn all aspects of your executive’s business.
  • Ability to multi-task and prioritize deadlines/deliverables.
  • Experience with terminology and functions necessary for a legal department.
  • Strong proficiency with all types of computers, phones and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, Concur, NetDocuments, Zoom, and working in a Windows environment.
  • A calm head and steady hand to deal with the unexpected.
  • “EQ” skills to build bridges, forge alliances and encourage people to want to work with you.
  • Complete reliability handling confidential, often highly sensitive information.
  • Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked.
  • Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is needed.
