Job Summary:

Executive Assistant                                                               

Reports to:  President, Production Services, Franchise & RISE

Position Summary:

The Executive Assistant is an administrative support role covering phones, scheduling, expenses and other admin duties for the President. 

Responsibilities:

  • Support, collaborate and partner with other departmental assistants in all aspects of management and organization of the Office of the President
  • Open the office each day
  • Schedule and maintain President’s calendar. Must work together to anticipate needs and brief President ahead of meetings
  • Organize and file documents, notes and presentations
  • Coordinate domestic and international travel and logistics for the President
  • Manage phones, messages and emails
  • Process and organize expense reports for the Office of the President
  • Managing mail into and out of the office

Experience / Qualifications:

  • Bachelor’s degree or equivalent work experience
  • Minimum of 2 years’ experience at a Studio, Production Company, Literary Agency or Talent Agency
  • Demonstrated organizational skills and superior attention to detail
  • Ability to successfully coordinate multiple projects simultaneously
  • Excellent communication skills, both written and verbal
  • Strong computer literacy and proficiency with SAP and Workday and working knowledge of Adobe, Illustrator, Keynote preferred
  • Demonstrated ability to prioritize, meet deadlines, make decisions and change course of action quickly. 
  • Detail oriented with the ability to work well and maintain professionalism under pressure. 
  • Exceptional organizational and follow-through skills. 
  • Effective communicator, both verbally and written. 
  • Ability to work with confidential information. 
  • Positive attitude and the ability to be proactive, resourceful and flexible. 
  • Strong people skills, including the ability to work effectively as part of a team. 
  • Ability to take initiative and work with limited direction.
