Job Summary:

Job Summary:

This role is responsible for coordinating with the teams in the tracking, reporting of project progress, as well conducts a range of assignments derived from the duties and responsibilities of the two Directors served, coordinating and maintaining the appointment calendars; gathering and abstracting materials for meetings, conferences and presentations; administering travel arrangements and related travel and entertainment expense reports; answering and screening incoming calls; reviewing and categorizing incoming correspondence / memoranda / emails; preparing routine correspondence, memoranda and e-mail responses; attending staff meetings and taking and editing notes of such meetings; maintaining contact lists and databases

Responsibilities:

  • Focus on major areas of work, typically 20% or more of role
  • Support the teams in identifying the risks and issues on projects, coordinating with teams and stakeholders to develop risk management and issue management plans
  • Guide the functional teams in the preparation of presentation decks for project or cross-functional forums
  • Assist to coordinate key meetings with various stakeholders to ensure meeting objectives are met and follow ups actions executed by identified parties
  • Coordinate program/project team engagement and communication, ensuring effective timing and interdependency management of communications
  • Coordinate with the team to provide access and configuration of project collaboration tools (e.g. OTT application, Google suite, Slack, Jira, Smartsheet, Airtable) for team members

Basic Qualifications:

  • At least 3+ years working experience, preferably in a Project Management team.
  • Excellent written and verbal communication skills
  • Experience organizing and facilitating meetings that involve mid-level/senior management
  • Strong attention to detail
  • Trusted and inclusive builder of relationships across diverse sets of teams
  • Digitally savvy
  • Strong process orientation; solid understanding of project management techniques, methodologies and best practices.
  • Strong analytical problem-solving skills
  • Excellent organizational skills and ability to prioritize workload to meet competing deadlines and manage stakeholder expectations
  • Curious, analytical mindset with the ability to apply data and insights to drive outcomes
  • Results-oriented
  • Ability to appropriately respond to and resolve issues with little direction
  • Ability to work effectively in a team environment
  • Ability to manage time wisely and prioritize effectively

This role is considered hybrid, which means the employee will work a portion of their time on-site from a Company designated location and the remainder of their time remotely.
