Job Summary:
You will report to the Group Event Systems Manager
Responsibilities:
You Will:
- Review all project timelines to ensure that the project goals are met.
- Create online event registration portals for several teams using EventsWithDisney (cloud-based Event Registration system presented by Certain Software, LLC)
- Handle end-to-end registration process from Profile Creation to Final Confirmation.
- Create merchandise event builds within the Merchandise Special Events system
- Create email templates in Courier for use in Merchandise Special Events system.
- Create, audit and maintain user ID's for Certain.
- Work with new partners, discovering their individual needs and creating solutions for their businesses.
- Help develop and implement strategic next steps for EventsWithDisney resource; suggest solutions for event partners as new system functionality is released.
- Help with the implementation and roll out of new event systems.
- Provide internal communication items: Action Plans and timelines, RSVP Reports / Updates to important partners, SOG's and training materials
- Prepare and distribute Welcome Packages and Name badges / credentials.
- Assist Special Event Management team with guest/client individual registration support needs
- Monitor RSVP's
- Book air or ground transportation
- Book resort rooms
- Agenda items / Sessions and guest itinerary management
- Link hotel, tickets or Park Reservations in GSS
- Provide Guest/Client assistance by phone or email, across multiple incoming phone lines and mailboxes.
- Staff Event Hospitality and on-site check-in.
- Process financial information: Post guest payments with credit card, check or wire transfer, create final event revenue reports/templates, create guest invoices/templates, monthly usage and reconciliation across all accounts,
- Process merchandise transactions: RSP and Buy-it-now order builds, payment entry & confirmations, order updates for returned or cancelled items
- Order & distribute ticket media and parking passes
Basic Qualifications:
You Have:
- Minimum one year related experience and 4 years WDW Experience
- Demonstrated Guest Service skills and ability to provide creative solutions
- Previous experience in system administration
- Used reporting systems, running various reports and being able to analyze data
- Must be proficient in MS Office
- Flexible work schedule, including overtime
- Proficient in Adobe PhotoShop or similar image editing software
- Experience creating functional logic (i.e. if, than, and, or)
- Worked with vendors and software design to recommend and maximize software capabilities
- Experience handling confidential information
- Knowledge of the Disney brand, it's product offerings, and other internal business rules, policies, and procedures that dictate the manner in how registration sites are built and managed
Preferred Qualifications:
- Demonstrated computer system knowledge of DREAMS, LILO, Travel Box, Certain (EventsWithDisney), Queue-It, Concur, GSS, website or online form creation
- Demonstrated experience with project / event management.
- Proficient in HTML & working knowledge of JavaScript and CSS
- Knowledge of Group markets (such as Resort Sales, Merchandise, Disney Institute, Corporate, Public Relations, Sports, Recruiting)
- Knowledge of event management solutions, cloud services, software as a service (SaaS)
- Previous experience training others
- Demonstrated knowledge of PCI and PII laws and regulations
Required Education
- Associates Degree or equivalent relevant work experience
