Job Summary:

The Income tax group is responsible for the preparation, filing, and audit of all US Income tax returns as well as certain informational returns, including W-9/W-8/Residency Certificates. The group assists other groups within the tax department (e.g. tax planning, tax provision, audit controversy) with the tasks that reside in those groups and in implementing department objectives.

Responsibilities:

Process tax returns for tax compliance matters:
  • Ensure that income tax returns, notices, extensions, amended returns are timely filed with government agencies
  • Organize and prioritize tax files for processing according to due dates and payment method (check or EFT)
  • Manage the approval process for returns, extensions and payments. This is includes coordinating the approval process through Workfront, OLAF and Docusign
  • Request new vendor numbers as needed for payments to tax authorities
  • Retrieve checks
  • Copy or scan checks and signed returns and save to Sharepoint site
  • Update status of entities to “Sent to Taxing Authority” in At Task
  • Prepare and print certified mailing receipts and mailing envelopes (or boxes for July returns with heavy attachments), when applicable
  • Weigh certified mailing packages individually on postage meter and apply correct amount of postage
  • Deliver tax returns to Post Office and obtain date stamp on all mailing receipts
  • Organize certified mail receipts
  • Proactively track signature requests to ensure deadlines are met
Other Responsibilities
  • Maintain an organized mail log on sharepoint consisting of notices from and responses to taxing authorities
  • Assist with custodian of tax file room.
  • Coordinate filling requests for files and other information from other off-site groups within the tax department
  • Coordinate with Cash and Banking when issues arise related to tax payments
  • Learn cross functional responsibilities of other Tax Coordinators to provide back-up as needed

Coordinate on-boarding of new employees, contract employees, & interns and office re-locations:
  • Coordinate requirements of new arrivals with HR, IT and Building Management
  • Prepare new hire welcome packets containing Disney and tax department information
  • Obtain PERNR numbers from HR and NEDS (Non-Employee Data Sheet) for outside contractors from hiring agency
  • Request LAN IDs and email accounts from IT
  • Route LAN IDs to Tax IT group to arrange access to computer software and drives in advance of arrival
  • Order computer equipment and supervise delivery/set-up
  • Schedule telephone installation and name display changes
  • Arrange building security/parking badges and Disney suite access
  • Handle internal employee office moves - schedule furniture movers and telephone installation or reconfiguration
  • Coordinate computer equipment moves – supervise disconnection and reconnection of equipment
  • Order business cards, office name tags, office, desk and filing cabinet keys, whiteboards, etc.

Other/Administrative:
  • Coordinate requirements with Building Management
  • Coordinate office events including planning, budget tracking and communication
  • Provide notary services as requested
  • Prepare correspondence and decks, including proofreading and document review for grammatical soundness and consistency
  • Coordinate travel arrangements for individuals and groups
  • Update and maintain postage meter, order postage, printing and mailing supplies
  • Travel to Post Office to deliver certified mailings for the tax department
  • Review and respond to email
  • Copy and scan documents
  • Coordinate internal lunch meetings; order and schedule food delivery or pickup
  • Reserve and set-up rooms for presentations
  • Coordinate and schedule meetings in Outlook
  • Process work orders for building maintenance requests (lighting, power, equipment, kitchen maintenance, etc.)
  • Schedule maintenance requests for copiers and printers
  • Order copy paper, office supplies and kitchen supplies for the TAG group
  • Prepare expense reports
  • Send overnight mail and packages via UPS
  • Send faxes
  • Receive guests and packages from lobbies
  • Provide parking validation for guests, where necessary

Basic Qualifications:

  • Prior para professional experience in a large corporate tax group or accounting firm
  • Demonstrated ability to build relationships with external and internal partners
  • Excellent written and oral communication skills
  • Self-starter that takes a hands on approach
  • Well organized and detailed oriented.
  • Able to efficiently coordinate the filing of large volumes of tax returns. This includes processing the returns, printing and saving to an online repository, processing checks and EFT requests, and sending by certified mail.
  • Comfortable and efficient with use of technology (i.e. Sharepoint and SAP) – Note: expertise in these systems is not required
  • Proficient with PowerPoint, Word and Excel

Preferred Qualifications:

  • SAP experience
  • Prior experience in a paperless environment is a plus

Required Education

  • Bachelor’s in Accounting, Finance, Economics or equivalent
