The ideal candidate for this position will be self-motivated, extremely organized and detail oriented and will thrive in a fast paced, team oriented global technology organization, while operating with minimal supervision and direction with a high level of professional integrity and emotional maturity.


  • Completes a broad variety of administrative tasks for the Global CTO/CIO with a high level of efficiency and accuracy including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed domestic and international travel plans, itineraries, and agendas; and compiling documents for meetings.
  • Works closely and effectively with the Global CTO/CIO and his Chief of Staff to keep them well informed of upcoming commitments and responsibilities and following up appropriately.
  • Collaborates with business partners and their administrative teams across the segment and company to plan efficient and impactful travel itineraries that target the CTO/CIO’s relevant priorities.
  • Schedules domestic and international meetings across multiple time zones using a variety of communication channels (including BlueJeans, Disney Meet Me, Skype, Telepresence conference calls).
  • Ensures meetings in offsite locations occur as planned and are supported (logistics and technology) when executive is travelling without Administrative Assistant.
  • Builds and sustains strong relationships with an informal network of internal team members, his Chief of Staff, business partners, internal administrative assistants and external contacts.
  • Provides a bridge for smooth communication between the office of the Global CTO/CIO and internal departments and departments across the segment; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Demonstrates flexibility to effectively work in a fast-paced environment with continuous change to prioritize conflicting needs;
  • Handles matters expeditiously and proactively, and follows through on time sensitive projects to successful completion.
  • Works closely with his Chief of Staff to plan, coordinate and execute on various special projects and events that facilitates the Global CTO/CIO’s ability to effectively lead his organization (e.g., Work sessions, town halls, skip level meetings, etc.)
  • Provides a service-oriented approach to meet the various needs of the Global CTO/CIO with excellent follow up skills and attention to granular details.
  • Exhibits a positive and proactive demeanor that incorporates efficiency, flexibility, and the ability to drive results while not being intimidated about asking for direction before moving forward if clear direction is not provided.
  • Demonstrates ability to work with confidential and proprietary company information with strict adherence to policies and procedures.

Basic Qualifications

  • Professional, senior-level assistant with a minimum of 12-15 years’ progressive experience supporting senior executives (VP & C-Suite) within a large global organization.
  • Very strong interpersonal skills and the ability to build relationships and establish strong in-formal networks across multiple geographies.
  • High level of professional integrity and emotional maturity with strict adherence to policies and procedures while being flexible and responsive.
  • Proficient using Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint), Adobe Acrobat Reader.
  • Proficient scheduling, setting up and managing video conferences, telepresence meetings and conference calls.
  • Proven, effective organization skills in large, complex, matrixed environments with diligence to follow up on granular details.
  • Candidate should demonstrate an ability to continuously prioritize and coordinate multiple projects/tasks while maintaining a calm, assertive and professional demeanor.
  • Extremely detail-oriented and solution driven even while under tight deadlines.
  • Flexibility to work after regular working hours or some weekends, as required.
  • Proven ability to expertly draft emails/letters as required.
  • Proven ability to operate within a team environment.
  • Proven ability to understand and anticipate needs and demands of supporting a senior executive role.
  • Proven ability to effectively represent the Office of the CTO/CIO with team members of all levels, vendors and other interested parties with professionalism, judgment and discretion.
  • Proven ability of level of comfort interacting with senior executives.
  • Proven desire and mindset to help CTO/CIO effectively manage available time and calendar to drive priorities and achieve objectives.
  • Prior experience handling confidential information.

  • Prior experience working in a technology organization
  • Apple OS experience
  • Prior Disney experience
  • Graphic capabilities
  • Willingness to travel domestically or internationally 10%

Required Education

  • High school diploma.

Preferred Education

  • Associates or Bachelor’s degree
  • CAP-OM Certification
