- This role is considered hybrid, which means the employee will work a portion of their time on-site from a Company designated location and the remainder of their time remotely.

At Imagineering Research and Development, our mission is to use technology to build new experiences for our Guests and new tools for Imagineers and the Cast Members who power our parks. This Executive Assistant (Project Hire) role will support two directors, the head of Imagineering Disney Research and the head of Advanced Development. You will join a team of engineers, designers, artists and scientists who share a passion for solving hard problems. As an Executive Assistant, you are a key part of the support team that keeps R&D building ground-breaking experiences. You are quick to respond, anticipating the needs of your executives, always staying one step ahead. You manage busy calendars as well as assist with on-site demos both for other Imagineers and top executives across the company.

Responsibilities

  • Support executives in managing calendar, travel, preparing for presentations, company meetings and other key events to meet department’s strategic objectives

  • Manage schedules and schedule/coordinate meetings that often necessitate coordination with multiple other executive calendars

  • Greet guests; assist with special projects relating to guests/visitors

  • Screen and prioritize all incoming phone calls, mail and/or meeting requests

  • Create meeting agendas and circulate meeting materials

  • Coordinate both on-site and off-site workshops, events and demos, including internal and external partners, vendors, and collaborators.

  • Plan travel itineraries and make travel arrangements, including reservations for events and dining as needed

  • Prepare, compile and manage expense reports for travel following established company and travel policy guidelines

  • Assist with general department tasks, including conference room requests, ordering supplies, coordinating general maintenance and upgrades for office equipment, phones, computers, etc.

  • Partner and work extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.

  • Track and support university and industry relationships

  • Create a positive environment for all who interact with R&D

Basic Qualifications

  • General administrative experience supporting executives in a corporate environment

  • Strong written and verbal communication and interpersonal skills. Ability to successfully interact with a wide range of Imagineers, senior executives, vendors and universities

  • Excellent computer proficiency - expert Outlook user, strong proficiency across Microsoft Office, Zoom and Slack. Familiarity with Keynote

  • Willingness to experiment with new forms of asynchronous communication as our hybrid workstyle continues to evolve

  • Experience engaging with high-level company executives, virtually and to support in-person technology demos

  • Desire and ability to build strong relationships across Disney, with peers, executives and within the R&D team

  • Experience supporting a dynamic and fast-paced department or team

  • Excellent organizational skills and attention to detail with the ability to prioritize tasks and handle multiple tasks with set deadlines

  • Experience handling confidential information. Exercises good judgement and discretion while maintaining confidentiality of information and documents

  • Flexibility to work overtime as needed in urgent situations

  • Interest in technology, robotics, and interactive experiences, and a passion for supporting a team of Imagineers who bring impossible things to life

Required Experience

  • 2+ years of administrative experience in a fast-paced and constantly changing environment

Preferred Qualifications

  • Experience within the Walt Disney Company or experiences supporting executives in an entrepreneurial technology organization

  • Experience with SAP and Concur

Required Education

  • High school diploma

Preferred Education

  • Bachelor's degree
