Walt Disney Animation Studios is seeking a Sr Secretary to provide day-to-day administrative support to both a Director, Talent Development & Design, and a Director, Production Training. The position involves duties including, but not limited to, maintaining calendars, scheduling meetings, assisting in the preparation of meetings, maintaining files, preparing expense reports, managing departmental calendars and reports, photocopying, ordering supplies and supporting departmental projects as needed in a fast paced dynamic environment.


  • Provide administrative support for Talent Development & Design and Production Training departments
  • Schedule appointments and meetings
  • Maintain and update various production planning calendars, reports and dashboard documents, class and event scheduling
  • Prepare, file and track expense reports
  • Establish and maintain document organization systems
  • Order supplies, materials and giveaways as needed and track inventory
  • Environmental space support ie. Training space wrangler, Trainee pod, moves and space related issues
  • Organize and coordinate ad hoc projects (office moves, offsite meetings, etc)
  • Order meals for meetings as needed
  • Maintain databases, email lists and filing systems
  • Attend meetings and take notes, execute on action items where necessary
  • Arrange travel arrangements, plan itineraries and logistics
  • Provide back up assistance to team members
  • Maintain confidentiality with respect to all matters and documents
  • Assist with various projects as needed
  • Class/Event Scheduling
  • Training Space Wrangler

Basic Qualifications

  • Ability to work with all types of creative and artistic people in support role
  • Ability to deal with a variety of individuals, levels and situations in a professional environment
  • Demonstrated ability to prioritize, meet deadlines, make decisions, change course of action quickly, flexible.
  • Detail oriented with the ability to maintain professionalism under pressure
  • Exceptional organizational and follow-thru skills with the ability to handle multiple priorities in a fast paced environment
  • Ability to take initiative and work with minimum supervision
  • Effective verbal and written communication skills
  • Positive attitude and the ability to be proactive, resourceful and flexible
  • Strong people skills
  • Ability to work independently as well as in a team environment
  • Flexibility, strong work ethic, and high measure of professionalism

Preferred Qualifications

  • Strong organizational skills
  • The ideal candidate for this position is mature, intelligent, responsible, creative, innovative, high energy self starter with Animation, film or other production exposure/interest
  • Must be able to effectively and professionally interface with executive-level Company executives and their support teams
  • Must work well with others in a team environment
  • Strong verbal and written communication skills required
  • Minimum 1 year general administrative experience supporting mid level executives in a corporate environment.
  • Proficiency in Excel, Microsoft Word, Excel, PowerPoint and the ability to learn new programs if necessary, SAP helpful

Preferred Education

  • BS or BA preferred
