This position supports three Attraction Managers and their teams. You would be a part of the Engineering Services team that is the heart beat of Magic Kingdom.
In addition to the management team, this position will also provide support for the hourly CMC Union Cast Members.
Responsibilities
Every day in this role is different! On any given day you might:
Thoughtfully manage complex calendars
Track open hourly headcount and work with recruiting to fill open positions
Manage Travel & Entertainment expenses for your team
Monitor overtime equalization
Proactively resolve problems and pitch in to help
Coordinate onboarding/offboarding of team members
Process and track payments to vendors using SAP
Maintain management schedules and track team time off using Labor Reports in SAP
Plan recognition and team events
Order supplies and equipment along with other office management duties
Manage project tracking and follow-up
Prepare reports to be shared with leaders and stakeholders
Compose correspondence on behalf of leader
Schedule and host Zoom meetings which could include presentation sharing
Prepare professional PowerPoint Decks
Protect Executive’s time through strategic and proactive calendar management and vetting a variety of meeting requests
Ensure the executive is prepared for meetings and events
Manage highly confidential correspondence and information with utmost discretion
Coordinate office space
Basic Requirements
Here’s what you will need to be successful in the role:
Proven success partnering and interacting with all levels of Cast Members/Employees including Executive Leadership
Prior work experience in a support or administrative role
Strong proficiency with standard office tools such as Microsoft Outlook, Word, PowerPoint, Excel
Generally tech savvy and willing to learn new skills
Professional and highly discreet while maintaining absolute confidentiality
Effective communication skills, including diplomatic and professional handling of telephone and email communications
Ability to be pro-active, resourceful, flexible, and responsible
Ability to take initiative and anticipate needs
Extremely well organized and attentive to detail
Demonstrated problem solving skills, as well as continuous improvement process skills
Strong time management skills along with the ability to be flexible with daily tasks and the ability of prioritize the daily/weekly/monthly workload
Demonstrated effectiveness in a team environment
Preferred Requirements
It would be a plus if you also had these skills:
Prior experience supporting at the Senior Management level
Experience working with MyTime, Overtime Equalization Tool and GEMS
Familiarity with the Craft Maintenance Council agreement
Willingness to learn new software applications
Demonstrated ability to manage conflict resolution
Other: Walt Disney World experience in a Sec 1 position
Required Education
High school degree or equivalent
