JOB DESCRIPTION

Executive Assistant to support the EVP, Scripted Content and Documentary Films at National Geographic. Recent scripted projects include: Genius Seasons 1 and 2,The Hot Zone, upcoming Genius: Aretha Franklin and The Right Stuff.  Recent documentary films include: Oscar winner Free Solo, The Cave, Sea of Shadows and upcoming Rebuilding Paradise directed by Ron Howard. This individual will be ultra-organized, be able to identify priorities, have a flexible mindset, be an effective communicator, able to anticipate vs. react, and handle confidential information with discretion in a fast-paced environment.

Responsibilities:

  • Answering and rolling calls, greeting guests, scheduling meetings and meals, coordinating and maintaining appointments/meetings, maintaining files, and coordinating all other special projects.
  • Act as liaison with other internal NatGeo departments in Washington, D.C. and New York, and external contacts to execute assignments and represent the executive in a professional and efficient manner.
  • Coordinate travel arrangements (domestic and international) and other administrative duties related to office expenses (i.e. processing travel and expense reports, filing, etc.) for EVP and 2 VP's.
  • Assist with departmental projects and events as needed. Help track and log scripted submissions. Give feedback on submissions and other creative material ass needed.  Help coordinate special projects, including creating presentations and documents using PowerPoint and Word. 
  • Act as office manager – keep track of and order office supplies and run point on any IT issues in the office. Coordinate any mail, filing and copying needs in the office.

Requirements:

  • Bachelor's degree or equivalent work experience is required.
  • Minimum one (1) year of experience in an office environment handling administrative duties in the entertainment business, preferably at a talent agency.
  • Prior experience with Microsoft Office Suite is required. 
  • Must be highly detail-oriented.
  • Must be professional, cheerful, a team player and skilled at creating professional relationships over the phone and in person.
  • Ability to be adaptive and effective in a quickly changing, fast-paced environment.
