Disney Theatrical Group currently seeks an enthusiastic, diligent and motivated professional to join our team as a Production Coordinator to support the General Management Team overseeing Frozen, Tarzan, Development Titles, and Disney concerts worldwide. In this role, you will be responsible for providing administrative and project support for the General Management (GM) office, the Production team, and the Creative team on multiple domestic and international productions, concerts and special events.

The ideal candidate will be adept at understanding the nuances of supporting various team members in a timely and efficient manner, with strong interpersonal skills, and the ability to work effectively with diverse populations, communication styles and shifting priorities.

Responsibilities:

  • Perform general administrative duties to support the Frozen team (GM office, the Production team, and the Creative team).
  • Coordinate domestic and international travel and generate comprehensive itineraries for the team.
  • Reconcile production and travel expenses.
  • Assist with drafting contracts and other important documents, as well as distribution to production team, legal team, unions, and corporate office.
  • Facilitate meetings including communication with participants regarding time, location, attendees, and agenda. Set up conference calls and operate the videoconferencing system when necessary.
  • Assist with processing weekly royalty payments, (i.e. Additional Weekly Compensation payments (AWCs)) for all productions of Frozen.
  • Organization of digital files.
  • Support the cost recovery process with licensee partners.

Basic Qualifications:

  • Adept at general administrative tasks such as budgeting, data entry, and document preparation.
  • Strong organizational and time management skills.
  • Ability to work occasional evening or weekend hours when necessary.
  • Ability to complete multiple tasks in a fast-moving environment.
  • Capable of meeting deadlines and working with daily time constraints.
  • Talent for anticipating needs.
  • Demonstrated integrity when handling confidential information.
  • Excellent written and spoken verbal communications; professional.
  • Proficiency in Microsoft Office applications is essential.

Preferred Qualifications:

  • 1-2+ years of experience in theatrical production with an interest in producing and/or theatrical management (general management, company management, stage management).
