Job Summary:

The Publicity Coordinator is responsible for helping to plan, execute, and coordinate many aspects of our film publicity campaigns.

Responsibilities:

  • Arrange travel (cars, flights, hotels) and work with Publicists on grooming/styling needs for talent & filmmakers on the team’s films.
  • Arrange press screenings and special event screenings (guilds, WOM, etc) with guidance from the team. Handle GSS entry, press check-in and distribution of RSVP and attendee lists. Compile screener link requests for necessary approvals and distribution.
  • Coordinate logistics for press days and film festivals, with the oversight from senior team members, including booking hotel rooms, setting menus, creating press invitations and compiling filmmaker & talent press requests.
  • Compile and distribute lists, such as screening attendee lists, master screening list, and press reaction memos.
  • Compile various reports including contributing to monthly CEO report, Strategy & Tactics Doc, Critics’ Chart, Campaign Highlights, Quote Grids and various awards documents.
  • Prepare and send press blasts on assigned films (date announcements, trailer launches, press day & premiere invite blasts, all media screenings, opening day letters, etc.)
  • Responsible for processing all new vendors, invoices/check requests for assigned publicity team.
  • Responsible for maintaining film publicity budgets and updating on a weekly basis.
  • Create and maintain various schedules, calendars and reports – both for films and for the department.
  • Compile and process expense reports for the team.
  • Search and circulate press breaks and social media posts for films for internal and external filmmaker distribution. Send industry breaks internally.
  • Work on research projects and memos as needed.
  • Develop and maintain close and communicative relationships with assigned talent and reps.
  • Work closely with other departments including Photo/EPK, Digital, Events, National Promotions, Production, etc. as needed
  • Work with outside specialty/targeted consultants, vendors, partners, etc. as needed
  • Attend and assist regional and special events as needed (screenings, premieres, junkets, Festivals etc.)
  • Make sure department press list is kept updated and reflects press job changes on a weekly basis (along with other assistants and coordinators in the dept).
  • Participate in brainstorming meetings.

Basic Qualifications:

  • Minimum of 1-2 years in a motion picture studio, agency or publicity firm required. Experience supporting a Publicity executive, preferred.
  • Bachelor's degree or equivalent level of experience
  • Excellent computer proficiency with Mac & Windows: Microsoft Word, Excel, PowerPoint.
  • Exceptional oral and written communication skills.
  • Adept at organizing and prioritizing workload effectively with the ability to work on many projects simultaneously.
  • Ability to work well under time constraints in a fast-paced environment and maintain a positive and professional attitude.
  • Demonstrated ability to be a self-starter; proactive in starting projects, asking questions, and taking on departmental projects/tasks as needed.
  • Exceptional follow-thru skills
  • Able to work well with others in a team environment.
  • Ability to work flexible hours, including overtime during the week and on weekends, when necessary.
  • Adept at social media tools and trends.
