Job Summary:

Provide executive level administrative support to the Facility Asset Management (FAM) Parks Director and FAM Projects Director and their teams.

Responsibilities:

Provide calendar management, conference room management and meeting coordination for 2 Directors and their teams. Plan domestic travel arrangements and prepare expense reports through Concur. Manage multiple priorities in a fast-paced, team environment including maintaining Distribution Lists, Contact Lists and Org Charts. Responsible for overall office administration including ordering office supplies, managing building entrance and assisting with delivery coordination. This position will also be responsible for new hire on-boarding.

Basic Qualifications:

  • Strong verbal and written communication skills.

  • Demonstrated strong organization and time management skills, with a focus on managing multiple calendars, assigning priorities and meeting deadlines in a fast-paced atmosphere.

  • Candidate must be self-motivated with strong follow-up skills.

  • Proficiency with Microsoft Office applications, SAP (Casual Buyer and SAP Workplace) are required.

  • Must be able to work independently as well as assist other areas when needed.

  • Strong partnering and networking sills.

  • Demonstrated problem-solving and decision-making skills

  • Self-starter with the ability to anticipate needs, take initiative and proactively problem-solve.

  • 3 years in a secretarial or office administration role

  • Proven ability to maintain confidential information and interface with all levels of management.

Preferred Qualifications:

  • Prior experience supporting executive level management.

  • Familiarity with the FOS organization.

Required Education

High school degree or equivalent

Preferred Education

Certified Administrative Professional certification or equivalent

This role is considered hybrid, which means the employee will work a portion of their time on-site from a Company designated location and the remainder of their time remotely.
