Job Summary:

The Manager, Project Portfolio Management (PPM) is responsible for leading the delivery of portfolio forecasts of projects and sustainment/continuous delivery, capacity planning, time tracking, estimate & program/project prioritization, and PPM tools & reporting across the Retail Technology portfolio. This role blends financial & business acumen, resource & capacity management, program & project management planning principles, and people management & growth.

The Manager, PPM will have a high level of proficiency in portfolio forecasting coupled with capacity management skills and the ability to apply historical evidence to anticipate likely scenarios for forecast planning. This leader will ensure on-time delivery of project & sustainment/continuous delivery forecasts for the organization, along with timely and regular review of capacity plans, estimate & program/project priorities, and timesheet submission across all portfolios, while leading a team of Portfolio Analysts, and working closely with Project, Product, Technology & Digital, Design, Operations, Sustainment, and Finance Executives & Managers.

The Manager, PPM will work with Executives to identify and communicate the organization’s portfolio priorities, including aligning funding and resourcing across all portfolios, and anticipating both funding & capacity risks and opportunities in accordance with financial goals and obligations. S/he sets milestones and monitors adherence to Finance and program/project schedules. This role will contribute to process & tool improvement opportunities, help to drive adoption and adherence across the retail tech portfolio.

Responsibilities:

  • Leading the delivery of the Retail Tech Production forecast to Executives and Finance.
  • Leading the capacity planning for geographically dispersed project and sustainment/continuous delivery resources comprised of Cast Members and staff aug resources.
  • Facilitating estimate & program/project prioritization decision-making with Executives on a regular cadence and for AOP/ACP as well as 5-year planning
  • Managing direct reports overseeing the resourcing of team members contributing to project & sustainment delivery.
  • Successfully delivering forecasts and capacity plans in alignment with key parameters (financial targets, ramp-up plans, program/project priorities etc.)
  • Quickly identifying and resolving forecast and resourcing issues as they arise, driving resolution in partnership with Project, Product, Technology and Digital, sustainment, Operations, and Design Managers, and communicating issues to Executives and Finance as warranted.
  • Earning the trust of the multi-discipline partners, business partners, and Finance through consistent performance and effective communication.
  • Overseeing the program and project setup in the PPM tool, forecasting, resourcing, and reporting within PPM tool and monitoring budget performance for programs/projects and sustainment/continuous delivery.
  • Evangelizing and enforcing adherence to forecast and resourcing processes while identifying opportunities for improving Retail Technology’s forecasting & resourcing capability and processes.
  • Actively scheduling and participating in forecast reviews, staffing plan reviews, and recommending adjustments and identifying the impact of funding and staffing risks.
  • Effectively communicating difficult messages to executives, partners, and program and project team members.
  • Training team members on how to interact with executive level leaders.
  • Growing and motivating the team through training, coaching, and mentorship

Basic Qualifications:

  • 5-10 plus years of experience in project/operations portfolio management, responsible for at least a $15M portfolio of programs.
  • 5 plus years of experience in project and portfolio management supporting software delivery for web sites and mobile apps preferred.
  • Prior experience in managing geographically distributed direct reports
  • Experience with variety of software delivery methodologies (e.g. waterfall, Scrum, and Lean, etc.).
  • Experience working for a billable organization.
  • Demonstrated experience managing and delivering forecasts and capacity plans for large web and mobile portfolios
  • Experience resource planning for cross functional teams including program and project management, product, technology and digital, and quality assurance, operations, and user experience
  • Strong leadership and communication skills to effectively manage multiple brands, multiple products, and multi-track teams.
  • High degree of flexibility in managing shifting priorities and effectively communicating Executive priorities to delivery teams.
  • Demonstrated ability to drive complex forecasts and capacity plans and to effectively communicate risks and dependencies to Executives and business partners.
  • Proven mentoring and coaching abilities to ensure effective growth plans of members of teams.
  • Demonstrated ability to identify, understand, and drive resolution of complex critical issues across large multi-discipline programs.
  • Demonstrated ability to synthesize complex information into concise stories, identifying key themes and takeaways.

Preferred Qualifications:

  • Extensive experience with industry standard PPM tools; CA Clarity PPM experience preferred
