Travel Business Development Coordinator

Job Summary:

A vital part of the Disney Destinations team, the Travel Business Development (TBD) Coordinator supports & maintains the centralised information, reports, data, finance processes and solutions for the business. A key member of the team who can represent the team with knowledge and confidence of the destinations we represent. Through strong organisation and administration skills, the TBD Coordinator sets the business and team up for success.

Responsibilities:

Travel Trades Sales:
  • Maintain a current and updated travel trade database
  • Prepare and distribute trade & PR messages/EDMs/announcements through current distribution platform
  • Assist in marketing sign off for trade collateral including brochures, flyers, merchandise etc
  • Participate in trade conferences as a representative of DDI as required
  • Qualify, fulfil and track Disney Travel Agents requests, including general information, requests for families, competition tickets, collateral, and distribution in a timely and efficient way
  • Ability to independently host/lead trade familiarisation trips to all global destinations when required
  • Support the planning, set-up & completion of major Travel Expo’s, Events, Disney Days, Tourism board sales missions, etc
  • Manage the master famli tracking & follow up report. Accurately recording all comp/famli activity at all resorts, and actively process the post-event follow-up
  • Support Business Development Manager in agent training & education programs
Marketing Support:
  • Support the maintenance of internal database, ensuring the site reflects the latest local & global news, events, latest offers and information, ensuring this follows best practice as set by US platform
  • Creative marketing campaign & PR support, assist with material approvals and promotions fulfilment
  • Manage the central collateral & asset library for the business so that:
o There is a master image/copy/logo/guidelines folder for contracted and non-contracted partners
o There is always stock of key collateral for Travel Trade, PR & Consumer
o DDI ANZ have the latest and most up-to-date collateral & assets
o Storage & freight costs and timelines are optimised (no wasted space/delivery)
o Optimise method for Travel Trade to order collateral as needed

General Administration:
  • Process all trade and guest enquires for DDI
  • Process all purchase order & invoicing needs monthly, integrating the information into our forecast and tracking system
  • Working with US Finance controllers to ensure quarterly spend is on track and accruals are maintained
  • Actively manage and track trade and press coverage of DDI activities across all destinations and prepare weekly activity reports for DLR & WDW Create a centralised record of all activities executed in market each year
  • Own all DDI share drives, and keep team informed on correct locations for storage and filing, maintain and innovate where required
  • Deliver accurate preparation and coordination of expense claims for the Director ensuring timely reimbursement
  • Ensure team meetings are scheduled and agenda is set with appropriate follow ups disseminated as required

Basic Qualifications:

  • Marketing experience A minimum of 3 years
  • Experience in administrative role
  • Advanced Microsoft Office skills
  • Advance PowerPoint skills essential
  • SAP knowledge advantageous
  • Industry background advantageous

  • Excellent organisation, time management & task prioritization skills
  • Strong communication and sales skills
  • Ability to maintain good relationships with partners
  • Strong team player
  • Strong administration and organisation skills: ability to multi-task and meet deadlines
  • Display a high level of both written and verbal communication skills
  • Pro-active, a self-starter who is able to work independently and prioritise and multi-task

Preferred Education

Bachelor's Degree is preferred but not essential
