Job Summary:

Group Operations

· Provide logistical planning and support before, during and after groupsessions and programs including but not limited to the following tasks:

o Participants’registrations, calendar invites

o Materials preparation,production, sorting

o Onsite or virtual (zoom) logistics support during actual session

o Online learning systemmanagement, attendance/learning credits

o Vendor/materials PO and payments

o Course/sessionevaluations and summaries

· Ability to do basicdata management and analytics including but not limited to:

o Session attendancetracking and trending

o Session/programevaluations and analyses

o Employee headcountreporting and data cuts

o Marketing data andtrending

Responsibilities:

Marketing & Communications
  • Basic layout and creative design support to internal communication and promotion materials, e.g.:
    • Monthly digital learning digest
    • Monthly newsletter/calendar
    • Program/session promotions/invitations
    • Brand/logo creation
  • Basic editing and translations (English and Chinese)

Project Support
  • Be part of OTS Operations Transition project to HR Services involving process simplification, workflow analysis and design
  • Provide logistical planning and support to specific projects assigned from any OTS portfolio:
    • Organization Development
    • Learning & Development
    • Talent management
    • Diversity & Inclusion
  • Other operational or team projects assigned by the APAC OTS Head and/or Operations Manager

Basic Qualifications:

Key Capabilities
  • Strong project management skills
  • Effective problem solving and analytical skills
  • Data analytics, i.e., data presentation, graphs, excel
  • Basic oral and written English proficiency
  • Creative design and layout skills a plus, i.e., Photoshop, Powerpoint, Keynote and Pages

  • Team player with strong communication skills
  • Commit to work at least 4 days a week over 6 months (minimum)
