Position Summary

The Assistant Manager, Facilities and Operations, is responsible for achieving appropriate, cost-effective and efficient delivery of facilities maintenance and providing a safe, healthy and comfortable work environment for all employees, ensuring the smooth running of facility operations.

Primary Responsibilities

Strategic Management of Facility
  • Provide support in sourcing for alternative or new contractors/vendors that are able to provide better level of service or better cost efficiency. Services included are handymen for minor repairs, moves and installation, janitorial, landscaping, furniture needs, FCU (fan coil unit) maintenance, security services, mechanical & electrical equipment maintenance, ACMV (air-conditioning, mechanical ventilation, plumbing and sanitary system) repair and maintenance
  • Set up procedures in occupational health and safety matters. Establish and maintain safety committee. Update, communicate and enforce office safety and security policies and guidelines
  • Long and short term space planning for the whole studio. Recommend cost effective ways for studio expansion
Repairs and Maintenance
  • Oversee the activities of external and/or internal contract personnel; monitors and inspects repair works to ensure adherence to specifications and industry standards
  • Supervise contractors in the maintenance and repair of building, M&E services, ACMV services, security equipment, procurement of furnishings and management of repair and alternation projects
  • Maintain and upkeep the entire facility environment including but not limited to landscaping, security, janitorial, environment issues (safety & health) and furniture needs
  • Maintain furniture and tenant space aesthetics and standards. Researches, recommends and tracks all furniture purchases, including all ergonomic products and disposal of fixed assets
Office Administrative Duties
  • Create, document, review & update operational processes and procedures for the Facilities Management office to ensure high availability of services
  • Provide a platform for handling internal customer complaints in an appropriate & efficient manner or otherwise escalate to the next level of authority for proper action. Facilitate issues such as employee moves, dealing with employee grievances such as air-conditioning and lighting conditions, broken furniture, ergonomic needs, lost and found, cubicle tear down and set up and furniture requirements
  • Provide support in the area of office security management and office safety
  • Assist in the logistic and set up of corporate events and quarterlies
Others - Ad Hoc
  • Performs miscellaneous job-related duties as assigned

Education / Experience

  • Minimum diploma certificate in building management or corporate administration
  • At least 5 years experience in admin or operations and facilities in a fast paced environment or MNC. With relevant experience in organizing events and purchasing
