The Executive Assistant to the Executive Vice President (EVP) provides high-level, confidential administrative support to the office of the EVP. Duties may be clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and liaising with external production companies. This position is often privy to confidential information and as such, requires negotiation and discretion. Comparably, this role requires an individual with extremely strong interpersonal skills due to needing to build effective relationships with Senior Executives’ Assistants. Due to the fast-paced environment, a successful candidate will demonstrate a positive, solution-oriented attitude who is future focused with the ability to remain focused in urgent situations. This candidate needs to be proactive, to take initiative and execute strong attention to detail. Teamwork, excellent verbal and written communication skills, dependability, responsibility, and diplomacy are all essential to this role.


  • Provides high-level, confidential support in clerical, administrative, and project-based duties in a diplomatic and discreet manner. Consistent management of all incoming written materials and sorting into appropriate folders both virtually and physically. Sort all urgencies and create daily action item lists to keep EVP on schedule.
  • Supervise a complex and detailed calendar for all activities, events, meetings, travel, and conferences.
  • Ensuring prep documents are printed and scheduled for review before priority meetings.
  • Coordinating conference rooms for meetings and testing AV and technical equipment prior to each meeting to ensure the meeting runs efficiently.
  • Available to work on nights and weekends as needed.
  • Maintaining annual budget spreadsheets, preparing financial statements, coordinating and booking travel, creating expense reports, memos, invoices, letters, and other documents to be determined.
  • Answering phones and routing calls to the correct person or taking messages.
  • Creates high profile presentations including both written and visual supporting materials.
  • Provide high-level support to broader teams underneath and adjacent to EVP including NGC, WILD, Kids, GPS, International, NG Studios, and Disney Channels. 
  • Serve as liaison between Executives and their teams, insuring information flows accurately and smoothly, enabling staff to make timely decisions.
  • Attending meetings and compiling a summary of notes on behalf of Executive.
  • Handling basic bookkeeping tasks.
  • Filing and retrieving corporate records, documents, and reports.
  • Greeting visitors and escorting them to meetings with executives.
  • Manage all requests for promotional materials, dubs, and gifts from internal/external staff, talent, and coordinate with programming department on festivals and awards submissions.


  • Bachelors Degree and at least 3 years of experience as an Executive Assistant or similar role.
  • Strong budgeting knowledge with a focus on fine attention to details.
  • Must be familiar with Apple technology. Strong working knowledge of all Microsoft office applications, especially Power Point and Excel. Key Note and Adobe experience a plus.
  • Ability to work on nights and weekends.
  • Strong inter-personal skills, emotional intelligence, diplomatic, strategic multi-tasking, attention to detail, forward-thinker, problem solver, and ability to work independently.
