ESPN Communications is seeking an experienced and energetic Executive Assistant that manages all aspects of daily office operations for ESPN’s Communications department in Bristol and supports the group’s leader, the Senior Vice President, and other executives in the group.
Responsibilities:
Provide day-to-day administrative support to the SVP and additional executives, including, but not limited to, the following:
- Serve as the primary initial contact for those who are interested in getting in contact with ESPN Communications
- Assist in all administrative functions, including maintaining calendar, scheduling appointments, booking travel, doing expenses, preparing presentations, organize events and meetings, and managing relationships with key people internally and externally, etc.
- Serves office management functions for the entire department, including assistance with technical needs, visitor requests, meetings, etc.
- Coordinates the administration, logistics and flow of the work for the assigned executive(s); tracks and follows-up on key “to-do” items on behalf of the assigned executive(s)
- Conducts a wide range of assignments derived from the duties and responsibilities of the executive(s) served; specific functions may include:
- Gathering and abstractive materials for such events as meetings, presentations
- Administering travel arrangements and related travel and entertainment expense reports
- Answering and screening incoming calls
- Reviewing and categorizing incoming correspondence
- Preparing routine correspondence
- Coordinating team events
- Coordinating office space for staff
- Coordinates the administration, logistics and flow of the work for the assigned executive(s)
- Serves as a point of contact for all Communications department when ordering supplies, managing conference rooms and calendars
- Point person for the organization and on-site running of ESPN’s “Newsmaker” speaker series
- Maintains the highest standards of confidentiality and tact
- Interacts with a wide variety of high-level ESPN and external contacts on behalf of the executive(s) served
- May interact with high level representatives of the media, clients, affiliates, public figures on behalf of the assigned executive(s); may coordinate and / or participate in meetings and interviews with these contacts.
Basic Qualifications:
- 5+ years of related administrative experience in generally comparable functions
- Demonstrates the following: time management, organizational skills, conflict management, business acumen, planning, priority setting, decision quality, excellent verbal and written communication, and computer proficiency
- Has advanced knowledge of Microsoft Office applications, databases used by the executive(s) supported
- Has highly advanced skills in communication and diplomacy; has highly sensitive to the purposes and motivations of the persons desiring contact with the assigned executive(s); is sensitive to and able to work effectively with a diverse group and individuals
- Has a highly advanced ability to organize work and to set priorities; has advanced multi-tasking skills
Preferred Qualifications:
- Has strong sports knowledge and knowledge of the ESPN brand
- Uses social media and other online tools to communicate with press & consumers more effectively
- Has and applies advanced experience in the conduct of several administrative processes and procedures carried out in the organization directed by the assigned executive(s)
- Has an advanced knowledge of the administrative processes carried out by the assigned executive(s) and those of the organization directed by the assigned executive(s)
- Has advanced knowledge of many administrative functions and processes
- Has advanced research and data analysis skills
