About the Role & Team
The Disney Brussels office monitors and engages on EU policy and regulatory developments affecting The Walt Disney Company's businesses, including intellectual property, media, technology, environmental and digital policy issues.
As Office Manager for the EU Global Public Policy office in Brussels, you will be responsible for ensuring the smooth and efficient day-to-day operation of the office and providing high-level administrative and executive support to the Brussels-based Public Policy team (3). As the first point of contact for institutional visitors, stakeholders, visiting Disney colleagues and executive guests, the candidate will play a key role in creating a professional, welcoming and positive experience that reflects The Walt Disney Company's values and reputation.
In addition, the person in this position will work under the supervision of and support the Vice President GPP in his daily work, particularly with calendar management, travel arrangements, meeting coordination, expense administration and logistical support. The candidate will also liaise directly with other EA’s in the company (London and Los Angeles primarily) to ensure a seamless administrative coordination and information flow.
This role will be based in our Brussels office, 4 days a week, with either a Monday or Friday working from home.

What You Will Do
You will manage the day-to-day administration and operations of the Brussels office, ensuring a professional, efficient and welcoming working environment, and providing day-to-day support to Disney colleagues visiting or working from the Brussels office to facilitate their operational and administrative needs. Specific duties will include:
Manage office facilities and service providers, including office stock (e.g. coffee, water, paper and other supplies), procurement, maintenance, repairs, cleaning, catering, building management, security and other vendors.
Coordinate with IT department on all office equipment and connectivity
Welcome visitors, providing general support to guests and always ensuring a professional representation of The Walt Disney Company.
Screen phone calls, enquiries and requests, handle them as appropriate, and manage incoming correspondence, including emails and post.
Provide executive support to the Vice President, Global Public Policy EMEA, including calendar management, meeting scheduling, travel arrangements, expense processing and coordination with colleagues across The Walt Disney Company's international offices.
Support the office's administrative and financial processes, including the management of invoices, payments, purchase orders and budget tracking in coordination with relevant corporate functions.
Liaise with internal teams across offices, external stakeholders, suppliers and business partners to facilitate effective communication and ensure the smooth running of office activities.
Organize and coordinate the logistics of internal and external meetings.
Support preparation and implementation of senior leadership visits and internal/external events (e.g. screenings, receptions, roundtables) and other events hosted by the Brussels office.
Maintain office records, databases and filing systems, and handle sensitive and confidential information with the highest degree of discretion and integrity.
Provide general administrative support to the Brussels-based Public Policy team such as travel arrangements and expense processing, as appropriate.
Required Qualifications & Skills
Professional experience in a similar position in an international or EU environment, incl. European Institutions, law firms or trade associations.
Fluency in English (written & oral) , French and Dutch mandatory, knowledge of at least one other major European language (German, Italian, Spanish, Polish) will be a plus.
Have excellent written and oral communication
Very service-oriented attitude to work.
High level of energy and enthusiasm
Ability to work in a fast-paced environment within a multinational team.
Demonstrate strong time management skills and ability to multi-task and prioritize work
Proficient computer skills, especially handling of MS-Office
