As a Coordinator, Events at Disney Entertainment, you will provide essential administrative and logistical support to the Events team. Based in Burbank, you will assist with day-to-day department operations, scheduling, communication, vendor coordination, and basic event preparation. You will work closely with the SVP of Events and the Events COE team to help keep workflows organized and running smoothly.
In this role, you will be responsible for managing calendars, scheduling meetings, and handling general department inquiries. You will coordinate travel arrangements, support invoice tracking, and assist with purchase orders and expense reports. Additionally, you will prepare meeting agendas, maintain department supplies, and support event logistics. This role is crucial in ensuring the smooth execution of events and requires strong organizational and communication skills.
Responsibilities:
Manage calendars and schedule meetings for the SVP of Events
Answer phones, route calls, and handle general department inquiries
Help coordinate travel arrangements, including itineraries, bookings, and expenses
Support invoice tracking and processing, including collecting approvals and maintaining accurate records
Assist with purchase orders, expense reports, and maintaining organized filing systems
Prepare meeting agendas, take notes, and distribute follow-ups when needed
Maintain department supplies, shared drives, and organizational tools
Support distribution of event invitations and communications
Help prepare event documents such as run-of-show materials, check-in lists, and attendee confirmations
Assist with basic event logistics such as vendor coordination, gathering quotes, and updating timelines
Help with shipping of event materials, asset organization, and tracking deliveries
Support onsite check-in and guest assistance at select events, including occasional evenings or weekends
Contribute to post-event recaps and help gather content for internal presentations and decks
Basic Qualifications:
Entry-level knowledge of event coordination and logistics
2 years of professional experience in coordination or related field
Curious and willing to learn new processes and systems
Detail-oriented with strong organizational skills
Effective communication and collaboration skills
Ability to work evenings, weekends, and travel as needed
Preferred Qualifications:
Experience in the entertainment industry
Familiarity with vendor management
Strong problem-solving skills and ability to adapt to changing circumstances
Passionate about delivering high-quality event experiences
Required Education:
Bachelor’s Degree or equivalent work experience
The hiring range for this position in Burbank, CA is $54,000 to $72,300 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
