Job Summary:

Department/Group Description:

Corporate Real Estate Operations (REO) is responsible for the day-to-day operation and management of the West Coast portfolio, ensuring business is conducted in a clean, safe, and efficient work environment and that the value of the Company’s physical assets are protected and improved.

Responsibilities of the Role:

EVENT SERVICES SUPPORT – BURBANK & GLENDALE

  • Support and maintain the events/meeting reservation calendar for all REO spaces and ensure all booking policies are followed and reservations are appropriately handled
  • Supervise two shared email inboxes and provide on-call support for the Studio Conference Room Booking inbox
  • Uphold and update guidelines and booking policies for Studio Conference Room Booking (SCRB) to implement while reserving conference rooms for clients; work directly with SCRB to ensure policies are properly implemented and followed
  • Provide hands-on, consultative support to lead, schedule and coordinate events held within assigned conference spaces by working directly with the client on all event needs (furniture set-up, power, security, parking, A/V, catering, cost estimates and budgeting etc.)
  • Provide immediate on-call support for all trades and clients during events including set-up and strike, before and after business hours and weekend assignments
  • Ensure that all events meet company policy standards for safety, fire, risk management, unions, etc; Inform clients of all policies, and adjust event details as needed to ensure compliance
  • Support and maintain event space AutoCAD drawings to distribute to clients and trades; create individual AutoCad diagrams for each event
  • Be responsible for event related budgetary items including assembling cost estimates for services, communicating costs to clients, and providing cost recap after event when requested
  • Lead all aspects of conference room space maintenance as it pertains to room repairs, safety and state of the furniture, and overall cleaning items by performing daily site walks of each space and creating work orders for any requests
  • Support inventory, delivery, setup and strike of executive soft seating furniture. Support inventory and maintenance of furniture including umbrellas for all led event/meeting spaces
  • Grand Central Air Terminate (GCAT) event spaces: In addition to all referenced event and space support partner with Disney Corporate Creative Resources Technical team to coordinate AV and technical support to events at the Grand Central Air Terminal;
  • GCAT Visitor Center: Coordinates tour schedule and host bi-monthly public tours
  • Partner with Production Services for all filming requests for outdoor and conference room locations
  • Partner with Design and Delivery and Infrastructure Services to ensure construction and special projects can co-exist with scheduled events; get in touch with clients to discuss impact on events and make accommodations as needed
  • Support and schedule food trucks in accordance with company policies involving risk management, safety, fire and power requirements
  • Participate and provide input to department in the development of new event spaces as it pertains to reservation policies, information guides and maintenance schedules
  • Provide support for the campus holiday decorating including high-level executive areas
  • Support special projects as assigned by REO leadership and executives
  • Provide event support if necessary to the Prospect Campus in Los Angeles

Parking

  • Provide support for supervisor on parking items related to events/meetings and working with parking requests to ensure all parking needs are met or settle if assistance will be needed
  • Have knowledge of parking locations/lots and policies for client questions and requests
  • Physically walk and audit executive parking when necessary for up-to-date records
  • Provide parking lot on site status updates for data research, future planning or during heavy event use times

Minimum Hiring Requirements:

  • High school diploma or equivalent experience
  • Must be Microsoft Office proficient, especially Outlook and Excel

Preferred Hiring Requirements:

  • Bachelor’s degree or experience in business, communication, or applicable field
  • Minimum one year applicable event experience

The hiring range for this position in California is $47,900.00 - $64,100.000 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
