Walt Disney Studios Motion Picture Marketing is a dynamic, results-driven marketing team responsible for positioning films and streaming content released by Disney (live action), Walt Disney Animation Studios, Pixar Animation Studios, Marvel Studios, Lucasfilm, and 20th Century Studios. This organization oversees the Studios’ global marketing strategy encompassing creative, media, digital, international, promotions, publicity, research, special events, and synergy, and handles some the most valuable film brands and franchises of all time. Thanks in large part to the efforts of the marketing team, the Walt Disney Studios has set numerous records at the box office, including being the first and only studio to surpass $3 billion domestically and $7 billion globally in a calendar year, milestones it has achieved twice.

The Secretary IV supporting Targeted Marketing & Field Publicity will report into the Vice President and Director. This team works across all Studio theatrical, Disney+ and Hulu film and series titles through release, including awards.


What You Will Do

  • Responsible for day-to-day administrative support, including calendar management, expense reporting, executive travel, publicity reporting, assistance with agency management, and meeting planning.

  • Preparation of all business related expenses using SAP travel proxy role ensuring expense reports are completed and filed in a timely manner

  • Primary contact for all incoming phone calls and communications (both mail and email)

  • Ability to tactfully manage executive’s time, multi-task and communicate clearly and effectively with all team members

  • Fulfill talent/filmmaker requests

  • Create and manage field agency documents and reports, tracking the planning and execution of publicity and promotional marketing initiatives

  • Create and manage film/series specific team documents, talent and filmmaker schedules

  • Create and manage North American film festival documents and charts

  • Create press break reports and manage campaign summaries

  • Handle budget invoicing including invoice coding

  • Manage CMC / CTA card reconciliation

  • Provide support with logistics as needed including back up help for talent and filmmaker global travel

  • Oversee cars (booking, confirming, onsite management, etc.) for regional events, regional press days, conventions, film festivals, etc.

  • Work press events such as premieres, junkets, long lead days, festivals, conventions, etc.

  • Support PGS/GSS entries as needed

  • Support creation of filmmaker presentations

  • Responsible for pulling weekly screening reports for executive

  • Heavy meeting coordination, logistics, preparation, invitations and materials

  • Partnering and working extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc

  • Supports departmental projects and executives as needed

  • Preparation of all business-related expenses using SAP travel proxy role ensuring expense reports are completed and filed in a timely manner

  • Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously

  • Other duties as the need arises

Required Qualifications & Skills

  • 2 years of administrative experience at the senior management level required, preferably within the entertainment industry

  • Proficient in PC and MAC

  • Keynote experience required

  • Excellent Computer Skills required – Strong proficiency with Microsoft Outlook, Word, Excel and PowerPoint

  • Demonstrated ability to prioritize, meet deadlines, make decisions, change course of action quickly, flexible

  • Be able to work in a highly matrix organization (ability to work with multiple leaders; managing work demands from multiple sources)

  • Demonstrates ability to ask questions, raise concerns, effective problem solver

  • Experience in working under pressure of competing deadlines while maintaining an attention to detail.

  • Effective communicator, both verbally and written

  • Demonstrated ability to build and maintain relationships within an organization across various levels of leadership and departments

  • Ability to be flexible with work schedule and to work overtime

Preferred Qualifications

  • A strong passion for film and series publicity and familiarity with a variety of industry concepts, practices, and procedures, especially in publicity

  • Experience in the entertainment industry, ideally in publicity or marketing

  • Ability to troubleshoot tech issues as they arise

  • Overall working knowledge with the SAP and Concur system

Education

  • Bachelor’s Degree OR equivalent experience preferred


The hiring range for this position in [location] is $52,400 to $70,200 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
