The Sr Executive Assistant role is a pivotal position within Searchlight Pictures, providing high-level administrative support to the President of Searchlight Pictures. Responsibilities:
As a Sr Executive Assistant, you will play a critical role in supporting the President of Searchlight Pictures and ensuring the seamless functioning of their office. This position demands exceptional organizational skills, attention to detail, and the ability to work independently while collaborating effectively with others. Your contributions will directly impact the efficiency and success of the executive's operations and the broader team.
- Manage the executive's calendar, including scheduling and confirming meetings internally and externally.
- Handle phone calls, roll calls, take notes, and maintain an updated phone sheet.
- Coordinate domestic and international travel arrangements, including logistics for the executive and talent.
- Prepare and submit expense reports in a timely and accurate manner.
- Assist with general office tasks, including ordering and maintaining office supplies and food stocks.
- Help coordinate screenings, events, and internal initiatives
- Develop and maintain familiarity with all ongoing projects within the company.
- Liaise with executives, talent, and other assistants both internally and externally.
- Support departmental projects, including maintaining organizational documents, grids, databases, and preparing agendas and memos for leadership meetings.
- Represent the President's office professionally and uphold confidentiality at all times.
Required Qualifications:
- 2+ years of relevant experience supporting senior executives.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong organizational skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Demonstrated ability to prioritize, multitask, and meet deadlines.
- Positive attitude with a proactive, resourceful, and flexible approach.
- Enthusiasm for film and television, particularly specialty/arthouse films.
- Bachelor's degree or equivalent work experience.
Preferred Qualifications:
- Experience at a Studio, Production Company, Literary or Talent Agency.
- Proficiency with SAP, Concur, and other enterprise tools.
- Bachelor's degree in a related field
The hiring range for this position in Burbank is $95,500.00 to $128,000.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
