As a Crew Travel Planner for Disney Cruise Line, you will book and coordinate air travel for our crew members, ensuring seamless and timely arrangements for both repatriation and rejoining according to contract requirements. You'll engage regularly with crew members, shipboard leadership, and labor operations to expertly manage daily travel logistics, swiftly addressing any urgent or unexpected travel challenges that arise. The Crew Travel Planner will report to the Crew Travel Manager and sits in Celebration, FL.

Responsibilities:

  • Oversee all aspects of Crew Member travel, including flight bookings, air tickets, hotel reservations, and managing related invoices.

  • Collaborate and maintain communication with Shipboard Officers, Crew, and Human Resources to coordinate travel arrangements.

  • Streamline Crew Member travel logistics, ensuring the most suitable options based on business needs, using both published and contracted rates.

  • Track and manage financial data related to travel, providing detailed reports and updates to senior management.

  • Ensure compliance with ARC, airline, and immigration regulations.

  • Provide support to Air Sea and Corporate Travel teams as needed.

  • Participate in system testing and offer recommendations for operational improvements.

Basic Qualifications:

  • 1+ years’ experience in travel coordination or logistics, preferably using airline and travel reservations systems, with a strong background in customer service, administrative support.

  • Proficiency in Microsoft Office applications (Word, Excel), particularly Excel, for tracking financials and managing travel information.

  • Ability to adopt new software applications and processes and handle confidential information.

  • Proficient in managing crisis situations and emergencies, quickly identifying and resolving operational challenges through critical thinking in fast-paced environments.

  • Exceptional written and verbal communication skills, adept at tailoring style and content to effectively engage diverse audiences, including internal teams such as Human Resources, Crew Members, and various departments.

  • Exceptional organizational skills with meticulous attention to detail and strong follow-up capabilities, with the ability to manage multiple, concurrent travel arrangements accurately.

  • Proven service orientation with effective partnership and influencing abilities, capable of building strong relationships and partnerships across departments.

  • Proven customer service expertise, delivering effective support for Crew Members’ travel needs.

  • Flexible availability to support a *24/7 operation, including evenings, holidays, and overtime as needed.

Preferred Qualifications:

  • 1+ years of experience in booking and pricing international and domestic flight arrangements, managing corporate travel, or handling crew logistics, preferably within the cruise or maritime industry.

  • Strong knowledge of world geography, coupled with practical experience in international travel and an understanding of crew rotations and global travel requirements.

  • Proficiency in using travel and booking systems such as Amadeus, or similar airline GDS platforms.

  • Experience managing travel budgets, processing invoices, and handling financial reporting related to travel logistics.

Required Education:

  • High School Diploma or equivalent.

Preferred Education:

  • Bachelor's Degree in Hospitality, Travel Management, Business Administration, or a related field or equivalent experience.
