Full Time Contract (1 year contract up to a maximum of 3 years), with the possibility of conversion to Full Time Employee in the future

Principal Accountabilities:

Provide overall coordination, administrative support, and basic research for the Vice President and leadership team of Disney Cruise Line business in Japan including:

<Communication>

  • Assist in ensuring smooth and effective communication both within the Walt Disney Company (e.g. DCL, WDI, WDCJ, etc.), as well as with external parties (e.g. OLC counterparts, shipyards, government entities, etc.)
  • Act as coordinator for information exchange between groups within the Walt Disney Company as well as external parties
  • Handling business communication via email, phone and any other means

<Scheduling & Agenda Coordination>

  • Coordinate meeting schedules for the Vice President and leadership team
  • Maintaining the Vice President’s calendar and contacts in Outlook
  • Arranging meeting rooms, interpreter(s), security clearance, and IT equipment as needed
  • Organize all business trip logistics for the Vice President and leadership team
  • Support and coordinate all incoming business trip agendas, making sure all the required logistics are being met

<Research & Reporting>

  • Conducting basic research & analysis and provide reliable summaries
  • Checking executive & team files for accuracy and consistency
  • Creating professional presentations and executive level communications as needed
  • Compiling inputs for creating agendas and reports

Note: Above 3 categories comprise majority of work responsibilities

  • Preparing, filing and maintaining documents as necessary: Communiques, Transmittals, Expense reports, Business Trip Notifications, emergency contact list, correspondences, etc. (English and Japanese)
  • Process time sheets, expense reports, vacation and leave requests and other administrative work as needed
  • Receive and facilitate guests for meetings
  • Support facilitating senior executive visits and events as necessary

Knowledge and Skills:

  • Minimum 7 years professional work experience
  • Excellent verbal and written communication skills in both English and Japanese.
  • Ability to work under pressure and handle multiple priorities without jeopardizing quality
  • Ability to work effectively in a team environment, to collaborate and interface with team members internal and external to the organization
  • Ability to think and act strategically
  • Strong interpersonal skills, ability to interface with all levels of staff
  • Ability to coordinate, prioritize, and execute projects on deadline
  • Strong administrative skills and organizational proficiency
  • Proven advanced Microsoft Office knowledge, including expertise in Outlook, Excel, Word and PowerPoint
  • Flexible to work outside of normal office hours when the necessity arises
  • Experience working with a senior executive advantageous
  • Valid driver’s license is a plus
