As an Executive Assistant, you will report to two Vice Presidents, People & Culture and support the team across programmatic and administrative support in a highly dynamic environment.
What You Will Do:
Manage complex calendars for 2 Vice Presidents and team Directors - including scheduling internal/external meetings and resolving conflicts in a timely manner. Anticipate scheduling needs, proactively resolve conflicts, and maintain clarity across shifting priorities.
Coordinate domestic and international travel logistics (including travel and expense reporting)
Support HR employee life-cycle processes for our team including onboarding new employees and support team culture and engagement initiatives.
Support planning and execution of team-wide initiatives including team staff meetings and leadership meetings
Identify process improvements that increase efficiency and clarity, with a special care to explore new tools (ex. AI)
General coordinator support on projects/tasks as assigned that span across the organization including powerpoint decks
Adapt and thrive in dynamic environments, demonstrating agility and flexibility with each coverage assignment
Communicate proactively and professionally, both internally and externally
Required Qualifications & Skills:
Work experience in an administrative or support role
Team player who thrives in a fast-paced setting
Drive, ambition, and curiosity to grow and contribute
Ability to handle sensitive information with integrity and confidentiality
Highly organized and detail-oriented, with strong follow-through
Calm under pressure and energized by fast-paced environments
Self-starter who works autonomously and takes initiative
Able to quickly prioritize and respond to tasks and requests
Strong communication and multitasking skills
Proficient in Google Suite and Microsoft Office Suite preferred
Education:
A Bachelor's Degree or equivalent work experience
The hiring range for this position in Glendale, CA is $65,300.00 to $87,500.00 per year based on a 40- hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
