Disney Entertainment (DE) is one of the three major business segments of The Walt Disney Company, consisting of Disney's entertainment media and content businesses, including its motion picture film studios, Disney General Entertainment Content, streaming services, and international media businesses.
The Content Planning & Analysis (CP&A) function reports into the Direct-to-Consumer organization. The CP&A team collaborates closely with stakeholders across Disney Entertainment (DE), including finance and strategy, data analytics, research, operations, and programming teams.
Job Summary:
The Executive Assistant will support three VPs in the DE Content Planning & Analysis department and will be responsible for executive support and team related administration. The right candidate has the ability to complete a high volume of tasks with creative resourcefulness and little guidance, a strong attention to detail, outstanding interpersonal and communication skills, the ability to exercise good judgment, and confidentiality.
Responsibilities and Duties of the Role:
Coordinating/confirming all matters for heavy calendar load of mainly internal meetings. This entails the coordination with other executive offices, managing the video conference, dial-in and room details, and coordinating meetings over multiple time zones - 40%
Provide additional administrative and office support such as setting up video calls, booking conference rooms, answering incoming phone calls, detailing messages, distributing mail, scanning and tracking documents, maintaining subscriptions, communicating to the department about events and trainings, and ordering supplies - 20%
Managing all travel arrangements and trip tracking/oversight (flight, hotel, car, meeting coordination) and all related expense management - 20%
General administrative support for the CP&A department - 20%
Coordinate team and departmental events and outings
Interaction with various internal departments, IT support, other Administrative Assistants, external organizations and executive management globally
Support basic office functions as required (i.e. maintain copy/supplies room, stock kitchen supplies, sort mail)
Assist with special projects as needed
Provide coverage for other departmental EA as necessary
Required Education, Experience/Skills/Training:
Polished, poised, senior-level executive assistant with a minimum of 5-7 years of experience supporting senior executives (VP+) within large, corporate environments
Extensive experience coordinating the scheduling of meetings with multiple executive offices
Ability to work with the highest degree of confidentiality – exercising discretion, judgment, and diplomacy
Must be able to expertly draft and transcribe correspondence (emails, memos, letters, reports)
Strong technical proficiency in all Microsoft applications (Outlook, Word, PowerPoint, Excel, Teams, Sharepoint) and familiarity with the Google Apps suite (Docs, Sheets, and Slides) as well as information systems (Workday, Airtable)
Unusually strong organizational skills, with a passion for details
Proven skills at building and maintaining business relationships, multi-tasking and being graceful under pressure
A “can-do” attitude
Ability to work as a team member with peers, junior staff, and senior execs
Preferred Qualifications
SAP, Concur and Casual Buyer/COUPA, Splan experience a plus
Required Education
Bachelor's Degree or equivalent work experience
The hiring range for this position in CA is $64,300.00 to $86,200.00 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
