Job Summary:

Provide day-to-day administrative support for the VP Worldwide Safety Services and VP Worldwide Safety Assurance and Directors and Cast Members on their teams, as well as back-up support for the SVP’s assistant in the WSHES organization.

Responsibilities

  • Demonstrate the ability to blend a positive attitude, flexibility, discretion and command while proactively managing multiple priorities including preparing written communication, expense reports, spreadsheets, presentations, coordinating meetings, and telephone coverage.

  • Proactively manage the two Vice President’s complex calendar as well as travel arrangements, domestic and international, and oversight.

  • Enthusiastic attitude, strong work ethic, flexibility, assertiveness and professionalism in an atmosphere where change is constant

  • Ability and eagerness to learn the substance of the work in which the VPs are involved in order to be an effective facilitator within the business unit.

  • Make appropriate decisions and take a proactive approach to ensuring the office is organized and efficient. Interface with internal and external partners, clients, and Cast at all levels on behalf of the Vice Presidents.

  • Ability to communicate efficiently and effectively through demonstrated strong verbal, written and interpersonal skills

  • Demonstrated strong ability to be proactive and self-motivated and anticipate administrative needs.   Ensure daily prioritization of communication, meetings, and action items.

  • Demonstrated exemplary planning and organization skills – able to set priorities, manage details and accurately follow through to meet all deadlines.

  • Ability to make independent decisions and demonstrate good judgment in the handling of issues, including those that involve sensitive and confidential information maintaining professionalism.

  • Provide technical expertise, coaching, skills development and mentoring for administrative team members.

  • This role may also be asked to assist with special projects and manage specific budgets.

Basic Qualifications

  • Proven knowledge of the WDPR culture, structure and operating practices.

  • Demonstrated ability to prioritize multiple tasks, meet deadlines, manage competing demands and change course of action quickly in a fast-paced environment while maintaining professionalism.

  • Proficiency in Microsoft Outlook, Concur, Excel, Word, PowerPoint, Visio, and SAP

  • Intense curiosity, open-minded creative thinking/problem solving and contagious positive attitude

  • Trusted thought partner to assist in the realization of the VPs Vision

Preferred Qualifications

  • Minimum of 3 years’ experience supporting Director level or above in a corporate environment

  • Proven success interacting, partnering and networking with all levels of management, including executives (directors and vice presidents) in a fast-paced dynamic environment
