This position reports to the Director of Business Integration & Optimization and also supports a Director of Alliance Management and a Director of Business Development. The position is based in Lake Buena Vista, Florida, and works closely with team members in Burbank and Anaheim.
You would be responsible for the day-to-day workings of the leaders you support. From endless calendar jockeying to travel planning and expense reports, this job is very much about people and making sure they are set up for success.
Responsibilities:
Calendar Management: Own and expertly manage three complex executive calendars, dedicating a large portion of each day to scheduling, rescheduling, prioritizing, and optimizing availability across multiple time zones.
Schedule Optimization: Structure each leader’s day by building in thinking time, sequencing priorities, protecting focus hours, and ensuring smooth transitions between meetings.
Real‑Time Prioritization: Respond to rapidly shifting business needs by making immediate calendar adjustments — triaging requests, clearing and rebuilding schedules, and renegotiating meetings to minimize disruption.
Travel Planning: Build thoughtful travel itineraries that account for timing, logistics, fatigue, and potential delays.
Confidential Support: Handle highly sensitive information with discretion, consistent with expectations for a publicly traded company.
Team & Office Support: Assist with onboarding, vendor coordination, and basic office management tasks to help maintain an effective and welcoming work environment.
Basic Qualifications:
3+ years of experience supporting director-level executives or equivalent experience.
Sharp written and verbal communication skills.
Ability to multi-task and prioritize deadlines/deliverables.
Strong proficiency with computers, office equipment, and mastery of Microsoft Office programs, Coupa, and Concur.
Ability to maintain a calm head and steady hand in unexpected situations.
Skills to build bridges, forge alliances, and encourage collaboration.
Complete reliability in handling confidential and highly sensitive information.
Desire to be genuinely helpful to leaders and co-workers, going the extra mile without being asked.
Some flexibility in schedule, valuing work/life balance but willing to extend hours when needed.
Very strong organizational skills and attention to detail.
A highly professional demeanor, positive outlook, resourcefulness, and a can-do attitude.
Education:
Bachelor’s degree and/or equivalent experience
Preferred Qualifications:
Experience at The Walt Disney Company.
Experience working in a large public corporation.
Good knowledge of and interest in marketing, advertising, and entertainment.
