The Facilities and Operations team handles all logistical support from an operational standpoint for global locations including space planning, design and moves, construction, phones, and security to support facilities planning and projects.

The Facilities Coordinator Senior will report to the Manager – Facilities & Operations.

This is a Full-Time position.

What You Will Do:

  • Assist in the coordination and tracking of facility maintenance requests, ensuring timely follow-up and resolution with internal teams and service providers
  • Serve as a point of contact for Facilities Services calls, responding to requests and routing issues to the appropriate vendors or departments
  • Schedule and coordinate preventative maintenance (PM) and service appointments for company vehicles, including transportation to and from maintenance facilities
  • Manage vendor relationships for office coffee machines and water dispensers, including service requests, repairs, preventative maintenance, and equipment replacements
  • Coordinate paper shredding services, including scheduling pickups, ensuring compliance with document disposal procedures, and maintaining vendor communication
  • Monitor open work orders and vendor service tickets, providing status updates and ensuring completion within established service levels
  • Maintain accurate records of maintenance activities, vendor services, vehicle maintenance schedules, and facility-related documentation
  • Support day-to-day facility operations by identifying service needs, coordinating repairs, and ensuring a safe and functional workplace environment
  • Assist with vendor access, scheduling, and onsite support during maintenance and service visits
  • Collaborate with Facilities and Operations leadership to address operational needs and improve service efficiency

Required Qualifications & Skills:

  • 3+ years of relevant experience
  • Valid Florida State Driver’s License
  • Proficiency in Microsoft Suite
  • Demonstrated experience in Project/Construction Management and Change Management
  • Ability to think strategically and tactically, with strong problem-solving skills
  • Capable of handling diverse projects simultaneously
  • Strong leadership skills to provide direction and manage relationships in a team environment
  • Ability to anticipate client and partner needs and adapt to change effectively
  • Excellent communication skills in a corporate setting
  • Strong interpersonal skills and attention to detail

Preferred Qualifications:

  • Experience with AutoCAD

Education:

  • High School Diploma or equivalent work experience required
  • Bachelor’s Degree preferred

The hiring range for this position in Florida is $62,200 - $83,300 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
