The Senior Project Coordinator supports storytelling and creatively driven project development. The role ensures seamless coordination across creative, technical, and production teams by managing scope, schedules, documentation, and communication from early story concepts through structured development and implementation.
Responsibilities
Organize and coordinate on- and off-site meetings; maintain efficient filing systems and manage workflow and timelines.
Develop project scope and schedules; support cost estimates and maintain scope lists and creative deliverables matrices.
Monitor project progress including scheduling, budgeting, and estimating; oversee mockups and show scene staging outcomes to support storytelling-based creative development.
Ensure story concepts and creative intent are clearly captured and communicated for further design, technical, and production development.
Prepare and deliver status reports to core teams across disciplines.
Schedule project meetings and maintain the project calendar to keep stakeholders aligned.
Coordinate and integrate project information with internal and external partners—creative teams, operations, municipalities, vendors, and contractors.
Ensure effective communication across teams regarding schedule, cost, and quality impacts.
Develop and manage documentation including scope lists, project strategies, and deliverables matrices.
Requirements
5–7 years of experience in project management, construction, engineering, production, or related fields. Prior Disney experience would be advantageous.
Bachelor’s degree in project management, engineering, construction, theatrical production, or a related discipline.
Strong organizational, communication, and leadership skills.
Ability to read and understand technical and architectural drawings.
Knowledge of scheduling, budgeting, procurement, and documentation processes.
Proficient in Microsoft Office; familiarity with Smartsheet or Airtable preferred.
Strong interpersonal and communication skills; able to work independently and collaboratively.
Fluent spoken and written English and Cantonese; Mandarin preferred.
