Your role?
The Senior Facilities Coordinator will assist the Facilities Manager with the overall smooth running of the ILM Sydney studio and facilities
This role requires an enthusiastic individual with exceptional organisational skills that has experience in what it takes to maintain facilities in a dynamic working environment including experience with WHS. This role requires someone who is a Team player and strives to maximise the team/department performance.
What will you be doing?
Manage a proactive maintenance program for the studio.
Manage external contractors’ relationships and requirements and proactively tender and review contracts.
Alongside the Assistant Facilities Manager, manage day to day WHS requirements including proactive preventative management of studio facilities and managing First Aid and Fire Wardens.
Assist with planned upgrades or works to the studio
Assists Assistant Facilities Manager working with departments and shows across space utilisation and assists with any department moves and seating plans.
Manages all maintenance issues and requests from the studio including ergonomic requirements, along with the Facilities team.
Assists with internal social events and screenings along with the Facilities team
Responsible for the aesthetics of the studio working with Assistant Facilities Manager
Assists with studio travel requests.
When required provides cover of Facilities Coordinators on the front desk and with all Facilities coordinator tasks.
All other duties as required.
To be a contributing member of this team, you will have a mix of these skills:
Minimum 3 years in a similar role
Adept at building strong relationships across all levels of the organization
Excellent communication skills
Proactive approach and solution focused
Enthusiastic self-starter with exceptional organisational skills
Ability to manage time effectively and continually re-prioritise tasks
Detailed and methodical approach to troubleshooting and resolving issues
Team player who will strive to maximise team/department performance
Experienced user of Google Suite & MS Office – Word, Excel, Powerpoint, Outlook
Bachelor’s Degree or Diploma or related equivalent work experience
