Job Summary:

The Owner Supply Coordinator provides structured administrative and coordination support to the Owner Supply team across multiple workstreams.

The role focuses on maintaining accurate tracking, ensuring alignment between stakeholders, and supporting the successful execution of Owner Supply activities.

Over time, the Owner Supply Coordinator may take ownership of defined scopes and independently drive tasks to completion, while contributing to process improvements and efficiency within the team.

This position is on-site in Papenburg, Germany.

Responsibilities

Administrative & Tracking Support

  • Maintain and update Owner Supply tracking tools (e.g. Smartsheet)

  • Ensure data accuracy, completeness, and consistency across all scopes

  • Monitor status of items (deadlines, decisions, procurement, delivery)

  • Identify gaps, inconsistencies, and missing information

Coordination & Meeting Management

  • Prepare, schedule, and lead coordination meetings with internal and external stakeholders

  • Capture clear and structured meeting notes (MOMs) and track action items

  • Ensure follow-up and closure of open topics

Team & Project Support

  • Support the Owner Supply team with reports, summaries, and presentations

  • Organize and structure project data and documentation

  • Ensure transparency and alignment across teams

Ownership & Scope Management

  • Take ownership of assigned scope and drive them to completion

  • Prepare plans aligned with the ship construction schedule.

  • Coordinate across project management, creative, technical teams, operations, procurement, logistics, and shipyard stakeholders

Ship Delivery Coordination

  • Support planning and coordination of deliveries on board

  • Assist with loading activities in collaboration with internal teams and external partners

  • Help resolve issues related to missing or delayed items

Follow-Up & Communication

  • Proactively follow up on open topics with stakeholders

  • Ensure timely updates and information flow

  • Identify issues early and escalate when needed

Experience

  • Strong organizational and administrative skills

  • Structured, reliable, and detail-oriented working style

  • Ability to manage multiple topics and deadlines in parallel

  • Confidence to lead meetings and follow up with stakeholders

  • Clear communication skills in English and German

  • Confident use of tools, like MS Office, Smartsheet, AMOS

  • Background in administrative, coordination, or technical/project environments

  • Experience in ship building or project-based settings is beneficial
