The Administrative & Inventory Coordinator supports multiple operational areas within Cotino®, A Storyliving by Disney™ community, including Food & Beverage, Lifestyle, Member Services, Community Operations, and Sales. In this role, you will implement tasks that contribute to lean inventory management, ensuring efficient, accurate, and proactive inventory and PO management for a wide range of business functions while maintaining strong communication, attention to detail, and operational excellence.
You will manage purchase orders (POs) and inventory; receive and validate deliveries; conduct audits of financial and inventory systems; resolve shortages; coordinate with site leadership, vendors, and cross-functional teams; and execute spoilage tracking.
You will report to Anthony Henry, General Manager, and this role will be on-site at Cotino®, A Storyliving by Disney™ community in Rancho Mirage, California.
This is a Full-Time role.
Responsibilities/You Will:
Manage and reconcile invoices across multiple lines of business—including Food & Beverage, Lifestyle, Member Services, Community Operations, and Sales—ensuring accuracy and timely processing
Monitor open purchase orders (POs) and proactively resolve issues on any POs greater than 3 days old to keep operations running smoothly
Track, research, and follow up on vendor and supplier credits
Partner with leadership and Sourcing to support vendor selection and onboarding
Support Food & Beverage Inventory Controls
Support Food & Beverage inventory controls using a computer‑based inventory management system
Place and manage inventory orders based on historical usage, upcoming events, and operational needs
Receive and verify deliveries, addressing shortages, damages, or discrepancies as needed
Conduct audits to ensure inventory and financial transactions are accurately recorded
Communicate inventory status, shortages, and potential impacts to Culinary partners and leadership
Collaborate with chefs, vendors, and cross‑functional teams to prioritize and fulfill requests
Resolve day‑to‑day inventory shortages and coordinate with other teams to secure needed products
Complete inventory transfers, including spoilage and inter‑location movements
Follow food safety guidelines and ensure products meet quality and compliance standards
Maintain organized storage areas and ensure proper product placement
Follow inventory management best practices and standards shared by leadership
Perform month‑end inventory counts and reporting
Basic Qualifications/You Have:
A valid California Driver's License
Minimum 6+ months experience in Administrative Support, Food & Beverage, Inventory Management, or Supply Chain roles
Familiarity with inventory management systems or similar tools used to track products, orders, or supplies
Strong organizational skills and confidence juggling multiple requests and priorities
A sharp eye for detail and a thoughtful, problem‑solving mindset
Experience creating or maintaining trackers, reports, or basic documentation
Ease learning new systems and working in a Windows‑based computer environment
A proactive, self‑motivated approach—you look for ways to improve processes and take ownership of your work
Curiosity and a willingness to ask questions and continue learning
Clear, professional communication skills and the ability to collaborate with Cast Members of all levels
Ability to lift up to 50 lbs. and comfortably work in storage areas or coolers as needed for inventory control
Availability to support the operation on occasional weekends
Preferred Qualifications:
1+ years of experience in Administrative Support, Food & Beverage, Inventory Management, or Supply Chain roles
Experience supporting accounts payable and/or accounts receivable processes
General knowledge of food & beverage operations
Experience using Smartsheet or similar tracking and workflow tools
Familiarity with systems such as SAP, Coupa, Workday, or Crunchtime
Knowledge of Disney procurement practices
Education:
High School Diploma or equivalent experience required

The pay rate for this role in Rancho Mirage, CA is $29.00 per hour.
