The Contract Administration Manager primarily supports Industrial Light & Magic (ILM), a visual effects company, Skywalker Sound (Skysound), a post-production sound company, and various Lucasfilm technology transactional workflows in accordance with Lucasfilm’s policies and legal requirements.
Under the supervision of attorneys in the Business & Legal Affairs department, the Contract Administration Manager will be responsible for the following, as well as other projects and department needs in connection with supporting ILM, Skysound and company-wide technology matters.
This role is based in San Francisco,CA. Work is onsite in our San Francisco office and occasionally from home.
Responsibilities
Negotiate, draft and administer agreements for VFX productions, sound production/design services, and technology transactions, including but not limited to NDAs, inbound and outbound service agreements, software license agreements, and intercompany transactions.
Drive the contracting and negotiation process for standardized agreements and other transactions based on established forms or precedent, keeping such transactions within established risk models and escalating nonconforming transactions to department attorneys as needed.
Administer workflows and paperwork for PR and marketing initiatives, including speaker and media releases, and media licensing and clearance coordination.
Provide contract admin support for procurement processes.
Maintain and update agreement templates, contract management systems, various status reports, and other internal department resources.
Act as department liaison to other business administration groups such as purchasing, technology coordinators, facilities management, production management, vendor management, and risk management, among others.
Ensure legal and governance policies and procedures are applied consistently.
Oversee the tracking and preparation of reports relating to status of agreements and other activities.
Required Qualifications:
Bachelor’s degree
6+ years experience administering contract workflows
Strong skills using office productivity software, including Google Workspace and various filing systems, databases and workflow tracking software.
Ability to delegate and monitor work by junior positions as well as communicate clearly and professionally with multiple levels of business management.
Ability to build and maintain strong internal client relationships via a responsive, service-oriented approach to support business goals while ensuring legal compliance.
Ability to build and maintain strong vendor and external business partner relationships, while maintaining legal compliance and other business related expectations
Takes “ownership” of projects and thinks proactively.
Ability to identify, analyse and propose solutions to complex issues.
Ability to prioritize high-volume work in a fast-paced, dynamic environment.
Excellent written, verbal, analytical and organizational skills.
Attention to detail, particularly in reviewing and drafting complex legal documents.
Preferred Qualifications:
Experience with content production and/or entertainment industry
Paralegal certificate or equivalent experience in a law firm or legal department of media company.
Strong experience with transactions involving intellectual property, including licensing and clearance matters.
Experience with software licensing and common licensing frameworks, such as SaaS, open source, etc.
The hiring range for this position in San Francisco is $95,400-$127,900 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
