About the Role

This Team Coordinator role supports the operational efficiency of the Category and Retail team for South Asia Pacific (3rd party Commercialization) including planning, communicating and administering the business effectively. The ability to multi-task and manage multiple priorities is critical.

This role will provide Executive administrative support for 3 Directors under the DCP business - Commercial Executive Director of the South Asia Pacific (SAP) region, Country Director for SG/MY/PH, and SAP Product Development Director

Responsibilities:

  • Executive admin support – Proactively manage calendar organization and travel coordination for the Commercial Executive Director of the South Asia Pacific (SAP) region, Country Director for SG/MY/PH and the SAP Product Development Director.
  • Expense Administration – Reconcile & manage expenses for 3 Directors (SAP Commercial Executive Director, Country Lead, Product Development) including purchasing (e.g. submitting Purchase Orders) and checking of expense reports to ensure that all expenses are in compliance with our company’s T&E policy.
  • Event Management – Plan regular team meetings and coordinate external partner visits including logistics & agenda management.
  • Team administration - Effectively prepare and plan regular meeting cadences, draft agendas for team meetings, coordinate and report meeting outcomes and drive accountability to deliverables (due date management). Consolidation of deck & materials post meetings and liaising with markets to ensure upload onto shared folders. Provide ad-hoc team administration support to the business (as required).
  • Team administration - Work with other team assistants to effectively manage communication flow across all stakeholders. Prepare & distribute communications (internal/ external) as required.
  • Business coordination – Facilitate information sharing with the curation of a shared resource library, compiling the latest materials on category updates, partner information and best practice references. Follow up with respective teams on adhoc global/APAC feedback request consolidation.

Requirements:

  • Minimum 1-2 years’ admin support, ideally supporting Director+ level across APAC
  • Experience required in coordination and business administration
  • Ability to anticipate day-to-day needs to facilitate Director(s) priorities
  • Advanced Microsoft Office, Outlook, Powerpoint, & Keynote essential; Zoom knowledge preferred
  • SAP/Workday, Concur, and general technology skillset advantageous
  • Strong communication and presentation skills required

Preferred Education:

  • Business administration or Project management degree or Diploma advantageous (planning, marketing, product management, financial & communication skills)
