Position Summary

This role is considered Onsite, which means the employee will work 100% onsite 5 days a week at a Company designated location.

The Front of House position acts as the first person employees, clients and vendors will speak to when entering the studio. You’ll be responsible for representing the studio and its culture in a positive manner and helping to answer questions and find solutions to various inquiries. The position will support a wide array of administrative tasks in addition to implementing security protocol and supporting studio events.

This position is open to B.C. residents only who currently have the right to work in Canada.

What You’ll Do

  • Act as first point of contact and security at reception area; receives and announces visitors, candidates and deliveries, answer questions
  • Implement security standards, including ensuring accurate check in by all non-employees, issuing and tracking badges, maintaining associated trackers
  • Handle and facilitate studio tour requests, ensure security protocols are followed
  • Act as the first point of contact for basic first aid services, document incidents and report to HR
  • Ensure the first aid room is fully stocked, track and order supplies as the need arises
  • Monitor café and washroom supplies throughout the day and submit service tickets
  • Maintain a tidy and safe reception area; ensure hygiene standards are maintained
  • Run parking registration, tracker and coordination with the landlord
  • Answer reception phone for studio entry and deliveries, assist with shipping and receiving as the need arises
  • Assist with meeting room, quiet room, kitchen calendar reservations and management
  • Main point of contact for external room bookings within the landlord property, work with the landlord for reservations. 
  • Assist with coordinating and facilitating studio screenings, both onsite and offsite
  • Handle company cell phone tracker and inventory, download monthly invoice
  • Support HR Manager and Finance to complete ad hoc administrative activities
  • Handle studio printers, including supplies and reporting
  • Event coordination under mentorship of studio management, including budgeting, planning, Social Committee leadership and live event management
  • Support studio initiatives and projects as advised

What We’re Looking For

  • Experience in a customer service role (3+ years)
  • Experience in Exec Support, Admin or Reception role
  • First aid level 2 certification, or willing to be trained
  • Experience in planning and driving events
  • Confident, engaged, curious, outgoing, innovative and a proactive problem solver
  • Excellent communication and client handling skills
  • Establishes and maintains relationships, passionate about delighting customers and colleagues
  • Focus on delivering outcomes in a timely manner and to a high standard
  • Applies critical and creative thinking to resolve issues in the most cost- and time-efficient manner
  • Works well within a team environment with a focus on personal results; takes ownership and keeps collaborators informed
  • Curiosity about film / visual effects / graphic arts industries
  • Solid understanding of Windows, MS Office package and Google Suite

The hiring range for this position in Vancouver is C$36,200 to C$46,000 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A full range of medical, financial, and/or other variable pay or benefits, may be offered dependent on the level and position offered.
