Job Summary:

We are looking for a Production Coordinator, who will provide support specifically for the Director and Original Productions team. You will review elements of budgets, schedules and scripts to assist the diligence process as required. We will also ask you to support the department interns, and use industry knowledge to train interns.

This role will require being onsite 4 days a week.

What You Will Do

  • Assist in the smooth office operation within the production unit, which involves collaborating closely with the Finance and Accounting teams, as well as the IT and Facilities departments within the company.

  • To be the central point of contact across all reporting and systems within the Disney + Production Process from Production to Post Production, including being gate holder for key technical software such as PIX, Aspera and others.

  • Manage production systems from budgeting, schedules, creative treatments/scripts/presentations, background checks, program delivery, production wrap materials, insurance, health and safety and security. Ensuring that materials are reviewed by the team and all documentation is tracked/saved.

  • Collect and collate suitable reference materials for rest of The Walt Disney Company when production is in progress.

  • Create presentations as requested.

  • Handle the daily traffic of review production information & materials, and handling the sharing and archive process. Ensure all materials are available in good time.

  • Assist in meetings coordination with internal and external parties.

  • Diary management, crafting call sheets and movement orders as the need arises. Coordinating travel and location recess if required.

  • Liaise with safety and security partners (1st Option Safety, Disney safety & security teams including Info Sec) as advised.

  • Translate documents as requested and/or collaborate closely with external translators to achieve timely outcomes.

  • Handle and process expenses & keeping accurate records.

  • Book travel requirements as assigned (taxis / bikes / flights / accommodation / hire cars).
     

Required Qualifications & Skills

  • A good understanding of Production Management and production processes, including postproduction and delivery stage.

  • Hands-on Production experience within the broadcast industry, both across scripted and non-scripted series having had input from prep, shoot, post and delivery stages.

  • Ability to manage and coordinate systems: PIX, Aspera and Scenechronize.

  • Solid understanding of industry terms, systems, protocols.

  • Proficient in Keynote (for Mac) and Microsoft Office (including Excel, Word and PowerPoint).

  • Knowledgeable of health & safety in production and the risk assessment process.

  • Proficient in production insurance requirements.

  • Great understanding of music reporting and rights clearance.
     

Skills Required

  • Skilled with custom and practice from prep/ shoot / post / delivery stage- in order to review and understand production paperwork.

  • Comprehending the significance of reading schedules, daily production reports, call sheets, post schedules.

  • Excellent IT skills and knowledge within the process of onboarding new staff.

  • Extraordinarily strong time management skills.

  • Excellent Polish and English skills written and spoken

  • A detailed understanding of the production process, including post production workflow.

  • Excellent interpersonal skills and production experience being savvy with the industry terminology. Possess good social skills to share information with heads of departments.

  • Strong ability to report precisely and succinctly, both internally with fellow colleagues and externally with production partners.

  • Organisation: plan, multi-task, work calmly under pressure.

  • Innovation: find solutions to problems, take care of the unexpected.

  • Budget: keep recordings of spending and control it as allocated.
