About the Role & Team
The primary focus of this role is to support office staff with administration related tasks, keep the flow of incoming and outgoing documents, parcels and ensure office area is kept tidy.
This role is a fixed-term contract and will require being onsite 5 days a week.
What You Will Do
Desk phone
Handle all incoming calls, take messages and pass to appropriate parties
Provide callers with general company information
Protect the privacy of all employee’s details, not providing any employee’s personal email/contact details unless authorised by that particular person
Receive guests
Greet and welcome visitors in an encouraging and friendly manner
Inform the respective staff to receive guests
Uphold office security by supervising access of personnel into inside office
Areas to be maintained
Ensure reception area is neat at all times
Keep the Boardrooms neat as well as the rest of the office if needed
Support for receiving deliveries and direct from reception area
Facilities
Support Office Coordinator with handling building management and cleaning company
Assist in office supply inventories for company (stationary/kitchen/shipping/copy room)
Report any needs for repair/maintenance job whenever observed
Sap
Processing administration related invoices
Creating shopping carts for various orders as needed
Working with Procurement Team in case of coding and/or cost related issues
Back up for local Casual Buyers
Administration Tasks
CORE stationery & kitchen supplies
Handle multiple couriers
Sort and direct incoming/outgoing mail
Monitor package deadlines and track packages as requested
Package and postage of prizes/giveaways in a timely manner
Ad hoc duties as required
Required Qualifications & Skills
Minimum Bachelor degree
2+ years of similar role experience in the matrix international environment
Proficient in Polish and English
Very good knowledge of MS Office, especially MS Excel
Can-do, proactive, problem-solving and collaborative approach
Excellent communication skills, incl. persuasion, negotiation and feedback skills
Diligence and efficiency, ability to flex priorities to current needs and deliver a consistent level of work
High self-motivation and feeling of ownership
Knowledge of SAP will be an additional asset!
