Job Summary:

The National Geographic Brand & Franchise Management team is seeking a dynamic Coordinator to provide team-wide support and manage administrative duties for the SVP of Brand & Franchise Management.

As the Coordinator, the ideal candidate must be accustomed to supporting high-level executives and manage multiple administrative tasks simultaneously in a fast-paced, often changing environment. This role will require you to build collaborative relationships across the National Geographic organization, and the broader Walt Disney Company organization to effectively execute cross-functional projects.

All administrative duties require a high level of integrity and discretion in handling confidential information. We are seeking candidates who are self-starters able to anticipate needs, offer creativity to initiate enhancements and maximize work products, drive work products, showcase action-oriented follow-through, master technology and a variety of computer programs.

Responsibility:

Provide overall administrative support for a high-level executive including but not limited to the following areas

Executive Administration & Office Management:

  • Manage and maintain the SVP’s calendar.

  • Coordinate and confirm all calendar matters, including internal and external meetings, establishing conference calls, and coordinating meetings over multiple time zones.

  • Manage all worldwide travel arrangements and trip tracking/oversight (itineraries, flight, hotel, car, meeting coordination) and all related expense management via Concur.

  • Prepare, manage, and file confidential memos, business updates, meeting notes.

  • Perform daily miscellaneous errands in the office as needed

  • Prepare, manage, and execute any weekly or monthly reports as requested by other executive offices.

  • Ordering and coordinating gifts for special occasions or events.  Be a value-add to a positive team atmosphere including occasional social gatherings (internal/external) and be a positive impact on overall company culture.

  • Leading planning and preparation for key team weekly meetings including agenda creation and collating notes to identify key action items

  • Contributing as a thought-leader to the improvement of the team’s operational rhythm and processes

Basic Brand & Franchise Team Support:

  • Support the administration and coordination of select projects:

    • Assisting in the preparation and organization reports and tracking documents

    • Support internal communications with cross-functional teams and stakeholders for brand projects and initiatives

    • Demonstrate initiative, identifying opportunities to increase the impact of activity

    • Contribute to brainstorming, ideation and creative development

  • Support preparation of strategy briefs, presentations, and brand documentation.

  • Help coordinate planning across Consumer Products, Publishing, Travel & Expeditions, and Disney Parks.

  • Assist with toolkit development for internal and external partners.

  • Monitor brand consistency across channels and support creative reviews.

Qualifications:

  • 2 + years administrative experience supporting a senior level executive (marketing or media environment preferred).

  • Excellent written and verbal communication skills, including deck preparation Strong interpersonal and relationship building skills to instill trust and confidence.

  • Strong computer proficiency in Apple Keynote, Microsoft Applications (Outlook, Word, Excel, PowerPoint), and Teams.

  • Ability to multitask and prioritize, independently managing and disseminating a variety of assignments punctually and efficiently.

  • Candidates must be onsite four days per week and reside within commuting distance to one of our headquarters in Washington, D.C., New York, NY, or Burbank.

  • Thrive in a fast-paced environment with strong organizational skills, precise attention to detail, and commitment to consistent follow-through.

  • Ability to anticipate the executive’s needs and effectively handle frequently changing priorities.

  • Applies good instincts and judgement navigating complex situations and environments.

Preferred Qualifications:

  • 3+ years prior experience supporting senior-level executives in a corporate environment, entertainment.

  • Knowledge of Workday and SAP Concur.

Required Education:

  • Bachelor’s degree or equivalent combination of work experience


The hiring range for this position in 7 Hudson, New York is $54,000 to $72,3000 per year and in Burbank, CA is $54,000 to $72,3000 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
